Overview
This position is responsible for producing a wide variety of documents, including complex legal documents, exhibits, reports and graphs, using an assortment of software. This position requires strong legal word processing and administrative skills, as well as an ability to perform well under strict deadlines.
Duties and Responsibilities Primary Responsibilities- Types and edits documents quickly; proofreads thoroughly and accurately for content and typographical errors; revises documents quickly and according to instructions.
- Applies styles correctly and follows practice group-specific best practices and procedures in formatting; ensures proper appearance of documents; correctly generates Table of Contents, Table of Authorities and Cross References; checks Defined Terms as necessary.
- Creates and revises documents using Workshare Compare, Excel, PowerPoint, Visio, Adobe Element and other software applications; handles electronic filings as requested; converts PDF files and editable text; creates and revises documents using the appropriate graphics applications.
- Provides administrative assistance as required.
- Performs other duties as assigned.
- Job is performed in a typical office environment, but is subject to time pressures and constraints, and is primarily dependent on input from others.
- Long hours are required periodically, and overtime may be required.
High school diploma or equivalent.
ExperienceThree years legal word processing and/or legal secretarial experience required.
Special KnowledgeRequires strong legal word processing skills, as well as the ability to perform well under strict deadlines. Requires the ability to diagnose, troubleshoot and correct problem documents.
Technical SkillsStrong proficiency in Microsoft Word, Workshare Compare and document management software required. Thorough working knowledge of PowerPoint, Excel and Visio strongly preferred.
AttributesMust have excellent written and verbal communication skills and be able to follow instructions effectively. Must be a self-starter who can work both independently and in a team environment. Excellent customer service skills and flexibility to handle changing priorities to support business needs required.
Other QualificationsMust score 70 wpm with a 2% or less error rate on the firm’s legal typing test and 76% or higher on the firm’s legal spelling test. Ability to maintain confidentiality required.
