Job Summary

We are seeking a detail-oriented and organized Shipping Coordinator and Purchasing Assistant to join our team. The ideal candidate will have strong communication skills, a keen understanding of logistics and supply chain processes, and the ability to manage multiple tasks efficiently. This role combines responsibilities in shipping coordination and purchasing assistance, ensuring that our operations run smoothly and efficiently.

Key Responsibilities Shipping Coordination
  • Manage and track all shipping and receiving activities, ensuring that goods are shipped and delivered on time.
  • Prepare and process shipping documentation, including invoices, packing lists, and customs forms.
  • Coordinate with carriers and freight forwarders to optimize shipping costs and delivery schedules.
  • Monitor inventory levels and reorder supplies as necessary to maintain optimal stock levels.
  • Resolve any shipping issues or discrepancies, ensuring timely communication with internal teams and external partners.
  • Maintain accurate shipping records and reports, providing updates to management as needed.
Purchasing Assistance
  • Assist in sourcing, negotiating, and purchasing materials and supplies from vendors.
  • Maintain relationships with suppliers to ensure the availability of products and favorable terms.
  • Prepare and issue purchase orders, ensuring compliance with company policies and budgets.
  • Track and evaluate supplier performance to identify opportunities for cost savings and efficiency improvements.
  • Collaborate with internal teams to forecast demand and adjust purchasing strategies accordingly.
  • Help maintain accurate inventory records and assist in inventory audits as needed.
Qualifications
  • High school diploma or equivalent; supply chain management, or a related field is a plus.
  • Previous experience in shipping coordination, purchasing, or supply chain management is preferred.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Quick Books.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Knowledge of shipping regulations and customs requirements is a plus.
