SUMMARY

As a Documents/Database Supervisor, you’ll direct the day-to-day work of the document and database personnel involved in the production, maintenance, and management of all right-of-way documents, files, and database(s). You’ll also oversee the quality review process for landowner and contact notes prepared by ROW Agents, ensuring all documentation is accurate, professional, consistent, and client-ready!

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Core duties and responsibilities include the following. Other duties may be assigned.

  • Have oversight responsibility for all right-of-way personnel performing document and database activities.
  • Be responsible for team performance in meeting all required timelines as they relate to document and database services.
  • Provide guidance, training, and support to QA/QC Analysts and ROW Agents regarding documentation standards and quality expectations.
  • Review landowner/contact notes submitted by ROW Agents prior to client delivery, correcting grammar, spelling, punctuation, and sentence structure while preserving the agent’s original meaning and factual content.
  • Flag notes with unclear, incomplete, or inconsistent information and route them back to the originating agent for clarification.
  • Ensure notes and documents follow a consistent tone, format, and level of detail appropriate for client-facing documentation.
  • Review and approve parcel files for the condemnation process, as needed.
  • Maintain writing standards and note templates for ROW Agents and document/database personnel.
  • Develop, document, and refine workflows associated with the intake, review, revision, approval, and delivery of landowner/contact notes.
  • Recommend and implement process improvements, tools, and templates (e.g., in the field data system, CRM, database, or shared drive) that increase efficiency, reduce editing burden, and reduce documentation errors.
  • Communicate changes and progress to the Project Manager and all project personnel performing document and database services.
  • Serve as the primary point of contact between field agents, QA/QC staff, project managers, and management regarding documentation questions and quality concerns.
  • Attend project and client team meetings, as required.
  • Ability and flexibility to work in cooperation with all those assigned to the project.
  • Reports to the Project Manager.

If you’re detail-oriented, quality-minded, and ready to lead a team that sets the documentation standard, we’d love to hear from you!
