The Advocacy Engagement Manager is a staff position responsible for developing and implementing comprehensive systems to recruit, engage, coordinate, and support volunteers who work with advocacy students in various educational contexts. This position plays a critical role in ensuring students receive a high-quality education experience through effective volunteer management and advocacy event coordination.

Essential Duties and Responsibilities
  • Leading volunteer recruitment efforts across all advocacy activities, from identifying and cultivating relationships with judges and attorneys to coordinating bailiffs and advocacy scholars.
  • Building and maintaining a detailed volunteer database covering expertise, availability, past competition involvement, and how they prefer to be contacted.
  • Creating and running orientation sessions that bring volunteers up to speed on competition standards, formats, and what's expected of them.
  • Serving as primary point of contact for volunteer inquiries and scheduling requests.
  • Helping recruit practice round judges for advocacy teams.
  • Helping recruit attorneys, bailiffs, and advocacy scholars for advocacy events and breakout sessions of advocacy classes.
  • Surveying volunteers regularly and using their input to strengthen our engagement efforts.
  • Tracking volunteer satisfaction and adjusting our processes based on what we learn.
  • Celebrating volunteers who support our students.
  • Coordinating continuing legal education (CLE) credit processes for volunteers participating in advocacy activities.
  • Coordinating all logistical aspects of practice rounds, including scheduling judges, securing facilities, communicating expectations, and providing necessary materials.
  • Assisting with the South Texas Mock Trial Challenge.
  • Supporting regional competitions hosted by South Texas for visiting schools, including logistics, hospitality, and volunteer coordination.
  • Supporting Senior Director of Advocacy Competitions.
  • Supporting Senior Director of Advocacy Programming.
  • Planning and executing Advocacy Program events, including orientations, informational sessions, alumni networking events, and recognition ceremonies.
  • Managing event and program logistics, including venue reservations, catering, technology needs, materials preparation, and participant communications.
  • Coordinating all room scheduling with Property Management and handling food orders for team practices, class sessions, and internal meetings.
  • Developing promotional materials and communications to recruit and retain volunteers.
  • Coordinating efforts with the Senior Director of Advocacy Programming, Senior Director of Advocacy Competitions, and Vice President of Advocacy on a regular basis.
  • Working with the Alumni Relations Department to engage alumni of the Advocacy Program.
  • Working with the Marketing Department to promote the Advocacy Program.
  • Complying with all aspects of the Law School's Customer Service standards.
  • Completing other tasks as assigned.

Strong interpersonal skills with the ability to interact effectively and efficiently with all students and visitors while projecting a positive image for the Advocacy Program and the College.

A service-oriented attitude with the ability to make students and coaches feel welcome. Proficient in Microsoft 365 (Word, Excel, Outlook), Google Drive, and Adobe.

Must be professional and confidential of all department data and correspondence. Must be computer literate with proficiency in MS Office applications (Word, Excel, and PowerPoint) and the ability to learn new programs as necessary. Must be detail-oriented and able to work in a fast-paced multi-tasking environment.
