Job Description We are seeking a Customer Service Representative to join our team! This position serves as a key liaison between our clients and laboratory services, ensuring a seamless and compliant experience from initial contract review through the final delivery of services. This role is committed to delivering customer satisfaction by supporting services that are accurate, dependable, and performed with integrity.
Responsibilities- Ensure all customer communications and service requests are managed in a manner consistent with ISO/IEC 17025 requirements and In-Cal’s Quality Management System.
- Function as the primary point of contact between customers and technical personnel, relaying requests accurately and facilitating timely, compliant service delivery.
- Conduct contract reviews documenting customer calibration requirements and ensure accurate documentation.
- Maintain clear, complete records of customer communications, service agreements, and contract review documentation in accordance with established procedures.
- Prepare estimates, work orders, purchase orders, and packing lists as necessary.
- Support the handling and documentation of customer complaints, nonconformities, and feedback in alignment with quality assurance procedures.
- Collaborate with quality, technical, and administrative teams to resolve customer issues while promoting compliance and continuous improvement.
- Share customer feedback with the relevant teams across the company, ensuring that all pertinent internal and external information is provided to the quality team.
- Perform ad hoc tasks as required, including opening packages, making deliveries, and handling shipping responsibilities.
- Strong customer service orientation with mindset focused on quality and compliance.
- Knowledge of ISO/IEC 17025 or experience working within a technical environment (preferred).
- Excellent verbal and written communication skills.
- High level of organization, accuracy, and documentation ability.
- Ability to prioritize and manage multiple responsibilities in a fast‑paced setting.
- Professionalism, discretion, and commitment to ethical conduct.
