Under the general direction of the Clinic Administrator, the Department Support Specialist II performs varied clerical and typing duties for Managing Physician, Department Chief or Associate Department Chief and management staff. This individual also analyzes eligibility media, utilizes various system applications for reporting purposes, interprets multiple medical plan benefits to maximize accurate collections, endorses mutual respect amongst all members of the healthcare team, practices positive guest/peer relationships and works with others to promote an efficient and effective team, and demonstrates a positive attitude and understands how this relates to creating a caring environment and a favorable impression regarding KSC commitment to the welfare of our patients.

This position generally supports greater than physicians including department chief/managing physicians.

Primary Responsibilities
  • 35% Timely preparation of hospital billing documents, per established guidelines, to include new patient charts/accounts for hospital patients and maintaining hospital list and inpatient status for hospital rounding physicians. Audits batches for department billing
  • 20% Schedules patients for procedures, surgeries and/or hospital admissions. Contact third party carriers to verify insurance coverage, benefits, and eligibility and referral authorizations
  • 20% Interface with patients to discuss account information and implement / monitor payment plans, when necessary. Collects any amounts due for professional services rendered prior to surgery/procedure when feasible
  • 10% Maintains Managing Physician, Department Chief or Associate Department Chief’s timesheets, departmental calendars and any professional documentation. Conducts all weekly and monthly physician productivity reports, per established time frames and quality guidelines. Assists with physician credentialing
  • 5% Provides secretarial support for site management and physicians to include:
    Assisting with telephone inquiries for physicians. Maintaining physician business/meeting calendar. Completing all related copying, faxing and filing. Prepares complex and detailed reports, letters and correspondence. Attends all staff and departmental meetings as well as assigned education classes
  • 5% Invoice Inquiry, i.e., review accounts on request and report back that all charges have been entered and/or payments collected. Conducts reconciliation process to ensure that all in- and outpatient procedures performed have been billed, per established guidelines
  • 5% Performs other duties as assigned by the site management staff

Required Qualifications
  • High School diploma or GED from an accredited program
  • 3+ years of general administrative experience and 2+ years of medical insurance verification experience or experience scheduling operative procedures OR 1+ years of KSC experience in a position similar, but not limited to, DSS I, ASRs, Contact Center or Member Services reps, MAs/CMAs or Schedulers
  • PC experience
  • Working knowledge of Microsoft Office
  • Prove typing skills 40 WPM with 10 or fewer errors
  • Prove basic math ability
  • Proven alpha/Numeric Forms Entry
  • Prove successful completion of the EPIC PM Front Desk Class and Hospital Charge Capture. IM Bills lead for department
