Job Summary

The Quality Certification & Documentation Specialist manages, verifies, and controls critical quality records, compliance packages, and regulatory documentation across our defense production lifecycle. This role ensures complete data integrity, process alignment, and continuous compliance with all customer and government contract requirements before product ships.

Core Responsibilities
  • Quality Certification Packages:
    Prepare, compile, review, and archive complete traceability packages, including Certificates of Conformance (C of Cs), First Article Inspection (FAI) reports, material test reports, and raw material certifications.
  • Data Verification:
    Review customer purchase orders and technical documentation to verify contract parameters, flow-down clauses, and part specifications against completed manufacturing and inspection records.
  • Document Control & Traceability:
    Maintain configuration management and revision control for SOPs, engineering specifications, and quality records within our ERP and Quality Management System (QMS).
  • Government Contract Deliverables:
    Prepare and process compliant material inspection and receiving documentation (DD250/WAWF receiving reports) and coordinate data packages required by defense regulations.
  • Internal & Customer Audits:
    Organize, index, and retrieve documentation for internal quality audits, customer reviews, and external defense compliance assessments.
  • Cross-Department Coordination:
    Work with Quality, Shipping, and Sales to resolve documentation discrepancies before shipments go out.
Required Qualifications
  • U.S. Person Status

    Required:

    This position requires access to information, technology, or materials subject to the International Traffic in Arms Regulations (ITAR) and Export Administration Regulations (EAR). Applicants must be U.S. citizens or lawful permanent residents.
  • Background Check:
    Successful completion of a background check is a condition of employment.
  • Experience:

    2+ years of document control, quality administration, or certification management experience in a regulated manufacturing environment (aerospace, defense, or medical devices preferred).
  • Education:

    High School Diploma or GED required; and quality-related discipline, or equivalent direct work experience preferred.
  • Technical Proficiency:
    Hands-on experience with ERP/MRP software and QMS modules or document databases. Strong skills with Microsoft Office, especially Word and Excel.
  • Attention to Detail:
    Meticulous proofreading and data-verification skills, with a proven ability to catch errors before documentation is finalized.
