Release of Information Specialist at Vital Records Control (VRC)
Apply for the Release of Information (ROI) Specialist I within the Vital Chart department of VRC Companies, LLC (“VRC”). This role processes requests for medical records in a timely, accurate manner while safeguarding patient privacy in accordance with HIPAA and other applicable federal and state statutes.
Key Responsibilities / Essential Functions- Process assigned Release of Information request types, primarily Continuing Care and Disability Determination Services, with cross‑training on other request types as required.
- Access Release of Information requests and medical records for healthcare clients according to specific procedures and security protocols.
- Complete Release of Information requests daily, prioritizing them based on turnaround time frames and service agreements.
- Validate requests and signed patient authorizations for HIPAA compliance and other applicable statutes.
- Classify request type correctly and log it into ROI software.
- Retrieve and upload requested portions of the patient’s medical chart from electronic or physical repositories.
- Perform Quality Control checks to ensure accuracy of the release and avoid breaches of Protected Health Information.
- Verify invoicing accuracy and adjust invoices as needed.
- Release records to the valid requesting entity.
- Reject requests that are not HIPAA‑compliant or otherwise valid.
- Return records to the proper location for physical repositories according to VRC and client procedures.
- Document all exceptions, communications, and other relevant information in ROI software.
- Alert supervisor to any questionable or unusual requests, communications, or discovered or suspected breaches immediately.
- Notify supervisor of any issues that would delay timely release of records.
- Answer requestor inquiries in an informative, respectful, and efficient manner.
- Store all records and files properly and securely before leaving the work area.
- Maintain adequate office supplies to carry out tasks as they arise.
- Be available and knowledgeable to take on additional healthcare facilities or request types during backlogs.
- Understand that healthcare facility assignments (on‑site or remote) may change.
- Carry out responsibilities in accordance with VRC and healthcare facility policies, HIPAA, state/federal regulations, and labor regulations.
- Maintain confidentiality, security, and ethical standards with all information.
- Work with privileged information conscientiously while releasing medical records efficiently and accurately.
- Alert supervisor to any connectivity problems, software or equipment malfunctions, or security risks.
- Adhere to all VRC policies and procedures.
- Complete required training within the allotted timeframe.
- Create invoices and billing materials for clients.
- Ensure client information details are kept up to date.
- Perform all other duties as assigned.
- High School Diploma (GED) required; degree preferred.
- Prior experience with ROI fulfillment preferred.
- Demonstrated attention to detail.
- Ability to prioritize, organize, and meet deadlines.
- Strong documentation and communication skills.
- Ability to maintain productivity and quality performance.
- Basic knowledge of medical records and HIPAA preferred.
- Prior experience with EHR/EMR platforms preferred.
- Proficiency with Windows environment and Microsoft Office products.
- Strong interpersonal skills with team members, clients, and requestors.
- Strong computer skills and Microsoft Office proficiency.
- Experience with operations of equipment such as printers, computers, fax machines, scanners, and microfilm readers/printers preferred.
- Detail‑oriented, self‑motivated, and able to stay focused on tasks for extended periods.
- Strong English reading, writing, speaking, and comprehension skills; bilingual skills desirable.
Salary: $15 - $18 per hour
