Bachelor’s degree in a related field. Two years of relevant specialist experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training could be considered to develop the required knowledge and abilities.
Nature & Purpose Of PositionThe CJ Conference Center and Building Specialist plays a critical role in ensuring the efficient operation, maintenance, and functionality of the Criminal Justice Center. This position serves as the primary point of contact for building-related needs, including event accommodations, facilities maintenance, IT support requests, and safety compliance. By coordinating with multiple departments and external partners, the Specialist ensures that all building services and resources are delivered accurately and on time, in alignment with university standards.
PrimaryResponsibilities
- Manages inventory, mailroom operations, office moves, and safety compliance, and serves as the primary contact for internal departments and external partners.
- Maintains accurate records and communications for building reservations and Criminal Justice Center accommodations for scheduled events.
- Maintains the YaRooms account and manages requests for reservations of building space in coordination with the building events calendar to manage the logistics of space properly.
- Initiates and tracks Facilities Work Orders for all requested building maintenance; follows up to ensure timely completion.
- Submits and monitors IT requests for the building, institutes, and departments, ensuring accuracy and timely resolution.
- Conducts regular evaluations of the building and associated areas to identify updates, repairs, or improvements, and reports recommendations to the supervisor.
- Manages the CJ mailroom and oversees accurate delivery of mail and packages to designated departments and personnel.
- Maintains building inventory, including furniture, IT assets, telephones, supplies, and work spaces.
- Coordinates with IT and Facilities to facilitate office moves for CJ personnel.
- Responsible for various aspects of the CJ Center budget, including building P-Card reconciliation and the payment of multiple bills.
- Responsible for the College golf cart maintenance and use, along with properly maintaining driving permits for all CJ staff, faculty, and personnel.
- Collaborates with the University Safety Officer on Fire Safety Programs and related maintenance.
- Serves as the primary building contact for Texas Department of Criminal Justice (TDCJ) personnel regarding building issues.
- Assists with and interprets an understanding of University and College-level policies and procedures.
- Occasionally requires evening and weekend work hours.
- Performs related duties as assigned to support the overall operations of the CJ Center.
Highly professional communication and customer service skills are essential for this role. Must maintain positive, professional relationships and clear communication with staff, faculty, students, and all individuals visiting the Criminal Justice Center and the University. This position interacts with a broad range of internal and external clients and requires the ability to represent the department professionally and courteously. Must demonstrate strong technical and clerical skills, including proficiency in Microsoft-based PC applications, and possess the ability to quickly learn and master university systems and programs effectively.
