I. JOB SUMMARY

Performs routine administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

II. ESSENTIAL FUNCTIONS
  • Prepares, coordinates, and maintains supply of needed treatment materials, forms, and other documents for the intake process, orientation, and education classes; prepares requests and requisitions for required materials; and ensures availability of supplies and participant folders.
  • Assists in researching and compiling data and related documentation; prepares, edits, and distributes correspondence, reports, and other documents; and maintains filing and record‑keeping systems.
  • Updates and maintains intake, orientation, and education class participant files and records to include consent and participation agreements, eligibility requirements, participant attendance, and program notes.
  • Responds to inquiries regarding rules, regulations, policies, and procedures; assists in developing administrative and technical policies and procedures; and assists the treatment staff in providing technical program assistance.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
III. MINIMUM QUALIFICATIONS
  • A. Education, Experience, and Training
    • Graduation from an accredited senior high school or equivalent or GED.
    • One year full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from an accredited college or university may be substituted for each six months of experience.
    • Correctional unit operations experience preferred.
  • B. Knowledge and Skills
    • Knowledge of alcoholism and chemical dependency, addiction, co‑dependency, and related disorders and of counseling and recovery.
    • Knowledge of office practices and procedures.
    • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
    • Skill to communicate ideas and instructions clearly and concisely.
    • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
    • Skill to interpret and apply rules, regulations, policies, and procedures.
    • Skill in problem‑solving techniques.
    • Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
    • Skill to prepare and maintain accurate records, files, and reports.
    • Skill to review technical data and prepare technical reports.
    • Skill to interpret and translate Spanish to English and English to Spanish preferred.
IV. ADDITIONAL REQUIREMENTS WITH OR WITHOUT REASONABLE ACCOMMODATION
  • A. Physical and environmental demands – Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
  • B. Conditions – Working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
  • C. Equipment – Computers and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
