JOB SUMMARY
Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
ESSENTIAL FUNCTIONS
- Participates in planning and execution of an agency program; assists in the development of administrative and technical assistance policies and procedures; responds to inquiries regarding rules, regulations, policies, and procedures; and reviews and seeks solutions to problems.
- Prepares and disseminates information concerning agency programs and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and documents; and maintains filing, record keeping, and records management systems to include automated information systems.
- Compiles and enters data for charts, graphs and databases, makes calculations, and prepares reports; assists in preparation of presentations for administrative and executive meetings; and researches, composes, designs, and edits agency publications to include brochures, forms, manuals, and charts.
- Coordinates work with departments of the agency; and provides liaison with departmental staff and law enforcement agencies.
- Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
- Performs a variety of marginal duties not listed, to be determined and assigned as needed.
MINIMUM QUALIFICATIONS
- Education:
Graduation from an accredited senior high school or equivalent or GED. - Experience:
Two years full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from an accredited college or university may be substituted for each six months of experience. - Training:
Must have or be able to obtain a certificate of completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training within six months of employment. Must maintain TLETS access eligibility. - Skills:
Knowledge of office practices and procedures; ability to communicate ideas and instructions clearly and concisely; ability to coordinate with staff and external parties; ability to interpret and apply rules, regulations, policies; problem‑solving skills; ability to prepare and maintain complex records in an automated system; computer proficiency including Microsoft Office Suite; typing rate 45 wpm (preferred).
ADDITIONAL REQUIREMENTS
- Ability to walk, stand, sit, kneel, push, stoop, reach above shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle and motor equipment.
- Conditions:
working inside, around machines with moving parts, radiant and electrical energy, closely with others, alone, protracted or irregular hours, and traveling by car, van, bus, and airplane. - Equipment used: computer, calculator, copier, fax machine, telephone, dolly, automobile.
