Overview

- Essential Functions: Management of Human Resources Administrative responsibilities (50%): inputs data and maintains the HRIS to ensure accuracy and completeness of employee records; produces reports as requested; prepares, updates, and monitors personnel records; files documents alphabetically or by established filing systems; maintains and utilizes a bring-up filing system; ensures files are organized and efficient; composes, prepares, types and processes HR forms and documents with accuracy;
photocopies and files correspondence; maintains confidentiality of personnel and payroll records and related communications. - Sets up HR files for all new employees; ensures all new hire paperwork is complete, signed, and filed according to policies and procedures; maintains files with medical information (e.g., FMLA, Workers’ Compensation, ADA) in a locked file cabinet separate from other personnel files.
- Uploads documents to TSAMM and submits to ARC Command for approval (e.g., New Hires, Promotions, Position Changes, Rate Changes, Leaves of Absence, Terminations).
- Center Support Administrative responsibilities: 50%: performs routine typing of standard departmental documents, cards, and labels; proofreads for accuracy and completeness; prepares and updates office records, documents, logs, lists, files, and purchase orders; inputs and updates information in computer databases; researches files to locate information.
- Answers telephone in a courteous manner and provides accurate information regarding department operations and services; resolves complaints calmly and tactfully; assists with receiving, sorting, and distribution of mail; ensures mail is forwarded appropriately.
- Assists in departmental bulk-mail activities and applies correct labels; supports other department personnel in front desk and administrative activities; may perform special projects as assigned.
- Performs other related work as required.
Skills and Abilities
- Knowledge of Ceridian HCM or ability to learn; strong verbal and written communication in English; proficiency in Microsoft Office Suites; ability to maintain personnel records accurately and confidentially; ability to enter data into electronic databases; teamwork and ability to follow verbal and written instructions; knowledge of general office practices and procedures; ability to handle confidential information; ability to communicate effectively with all levels of staff.
- High School diploma or GED required; two-year vocational office courses preferred; minimum of three years of clerical office experience or equivalent combination of training and experience.

Physical Requirements and Working Conditions- Ability to meet attendance requirements; read, write, and communicate in English; key data into a computer; operate general office equipment; answer telephones courteously; sort and file items alphabetically and numerically.
- Duties are usually performed seated; occasional standing or walking; light lifting (less than 25 lbs); 5-10% of work time.
- Work is performed in a normal office environment with typical conditions.
