Position Summary:

The operations Coordinator supports the UK Trading business by managing day-to-day shipping and trade operations. The role ensures shipments are executed accurately, on time, and at the most cost-effective level while coordinating with internal teams and external partners across multiple countries.

Key Responsibilities:

Shipment Coordination:
Plan and manage shipments from booking through to final delivery.
Monitor shipment progress and proactively resolve delays or operational issues.
Support freight negotiations and identify cost-effective shipping solutions.

Cost Control:
Monitor and track additional shipping costs such as demurrage and wasted journeys.
Coordinate with Trading and Finance teams to recover applicable costs.
Support initiatives to minimize overall shipping expenses.

Stakeholder Coordination:
Act as the primary point of contact for day-to-day operational queries.
Coordinate with suppliers, customers, freight forwarders, and shipping lines.
Collaborate with teams across India, UK, Singapore, and Australia to resolve operational issues.

Shipping & Trade Administration:
Create and manage shipment records, sales orders, and purchase orders.
Handle shipment bookings, documentation, and confirmations.
Process VGM declarations, vendor invoices, and shipping/banking documents.
Coordinate inspections and certification activities where required.
Maintain accurate shipment records and supporting documentation.

Compliance & Continuous Improvement:
Ensure compliance with Visy's policies, procedures, and internal controls.
Support internal and external audits while minimizing audit findings.
Identify opportunities to improve operational processes and efficiencies.

Key Challenges:
Managing multiple shipments and competing deadlines in a fast-paced environment.
Coordinating activities across multiple countries and time zones.
Maintaining high accuracy while handling large transaction volumes.

Experience &

Qualifications:

Mandatory:
Minimum 3 years of relevant experience.
Experience in the shipping industry, particularly freight forwarding.

Preferred:
Experience in the wastepaper and plastic recycling industry.
Proficiency in Microsoft Office Suite.
Working knowledge of SAP.

Required Skills:

Strong coordination and problem-solving skills within shipping or logistics operations.
Ability to manage multiple priorities and meet deadlines.
Strong written and verbal communication skills in English.
