Payable Clerk

Department: Accounting
Status: Non‑Exempt
Reports To: Assistant Controller
Salary Range: $17‑$20/hr

Purpose And Summary Statement: Under the direction of the Assistant Controller, responsible for performing clerical, administrative and related work to enhance the production and efficiency of the main office. To provide support for the company by serving as back‑up in various functional areas.

Essential Job Functions
  • Executes administrative duties such as answering telephone and greeting customers.
  • Codes some invoices, accurately enters expense and chart of account invoices into computer system and files them electronically through Kwik Tags.
  • Issues correct vendor payments in a timely manner.
  • Handles all stock correspondence with customers, prepares reports, enters transactions and interfaces stock.
  • Processes billings for employee purchases each month.
  • Completes vendor statement reconciliations on a monthly basis and resolves vendor issues as quickly as possible.
  • Processes billings for employee Blue Cross Blue Shield invoices monthly.
Other Job Functions
  • Good interpersonal skills. Ability to effectively deal with the public (both on the telephone and in person) in a pleasant, clear voice.
  • Neat appearance.
  • Prepares packages to be mailed via UPS for the company.
  • May be required to cross‑train and substitute for other office administrative and accounting positions.
  • Performs all other duties as assigned.
Requirements
  • Knowledge of secretarial/clerical support and office procedures, as would be acquired through up to one year of related experience.
  • Ability to use personal computer, calculator, copier, fax machine, and other office equipment.
  • Proven team building skills and the ability to work independently and in a team‑oriented environment.
  • Understanding and experience with accounts payable, and reconciling vendor accounts.
  • Demonstrates planning, organization, time management, and problem‑solving skills.
  • Must hold a valid driver’s license.
