The Scheduler is responsible for developing, maintaining, and adjusting staff schedules to ensure continuous coverage that meets or exceeds Illinois Department of Children and Family Services (DCFS) licensing standards for children’s residential care programs. This position plays a critical role in maintaining required staffing ratios, ensuring appropriately qualified staff coverage, supporting continuity of care for residents, and maintaining compliance with applicable state regulations, organizational policies, and labor laws.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Create, post, and maintain staff schedules that comply with Illinois DCFS licensing rules, including minimum staffing ratios.
- Ensure schedules reflect appropriate staff qualifications and required training.
- Monitor call-offs, PTO, leaves of absence, and emergent staffing needs to ensure uninterrupted supervision.
- Coordinate with leadership to address staffing shortages and coverage gaps.
- Track and manage overtime and shift trades in accordance with policy and labor laws.
- Maintain accurate, auditable scheduling records.
- Communicate schedules and changes promptly to staff.
- Support DCFS documentation and record-keeping requirements.
- Assist with licensing reviews, audits, and inspections.
- Maintain confidentiality of employee and resident information.
- All other duties as assigned.
- High school diploma or equivalent required; associate degree preferred.
- Minimum one year of scheduling experience required; human services or residential care preferred.
- Experience working in regulated environments.
- Proficiency with scheduling or workforce management systems.
- Ability to manage staffing ratios and coverage requirements.
- Strong attention to detail.
- Ability to respond calmly to urgent staffing needs.
- Strong organizational and communication skills.
