Administrative Assistants

Job Summary

Provides routine childcare office support. Provides support and assists with the overall administration and development of childcare center operation. May substitute in childcare classrooms when needed.

• Demonstrate effective communication with professionals, parents, and children
• Demonstrate an ability to work independently but show a willingness to take direction from the supervisor
• Demonstrate a warm, energetic disposition and enjoy working with families and young children (6 weeks to 5 years) and be willing to help out in classrooms as needed
• Review and process child care applications and related forms; review them for accuracy and completeness; ensure compliance with University and department policies, procedures, and federal, state, and local regulations. Efficiency and speed of processing is a must
• Receive, greet and direct visitors to the appropriate person or center. May provide child care center orientation and child development information for parents. May be asked to work with diaper bank
• Answer telephones, provide assistance, and direct families to the correct person or office. Return calls and emails in a timely manner
• Process and answer parent questions in a timely manner, through phone or email
• Create and maintain child files, service agreements, schedules, etc., and help centers access information
• Schedule appointments with parents and arrange for tours and orientation meetings
• Answer questions about the organization and associated activities
• Help out in classrooms as needed/instructed

Work environment and level of frequency typically required:
Nearly continuously in an office environment; occasional in an early childhood classroom environment or early childhood kitchen.

Qualifications:

• High school diploma or equivalency required
• One year full-time customer services experience or equivalency, demonstrated human relation and effective communication skills also required
• One year full-time childcare experience or equivalency (Head Start, preschool, or childcare licensing etc.)
• At least 21 years old
• Pass a BCI and fingerprint background check
• Willing to obtain first aid training
• Demonstrated skills in Microsoft Office and management software
• Meet physical characteristics needed for the performance of all job duties (with or without the use of aids)
  • Sufficient vision to read small printed material as well as long distances across playgrounds and classrooms for child supervision
  • Sufficient hearing to hear normal and telephone conversation
  • Ability to speak in an understandable manner
  • Tone with sufficient volume to be heard in an office and/or a busy classroom environment
  • Lift small children (up to 50 lbs)
  • Carry small children in arms for short distances
  • Move about on hands and knees and sit on the floor with children
