Scope

Under general supervision, the employee is responsible for scheduling patient appointments and tests efficiently and timely. They answer all incoming calls and direct callers to appropriate personnel, serving as a liaison between patients and medical staff. Responsibilities may include outside scheduling or surgical scheduling duties. The employee supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities
  • Answers all incoming calls, assesses callers’ needs, and directs to appropriate personnel. Pages clinic personnel as appropriate and obtains and communicates messages accurately and timely.
  • Schedules new patients, patient referrals, and returning patients in the computer system in accordance with physician and/or office guidelines. Sets up new and referred patients with appropriate documentation and coding, and cancels or reschedules appointments as needed.
  • Obtains and enters all insurance authorizations and correspondence relating to referrals in patient charts and/or electronic medical records (EMR).
  • Collects co‑pays, deductibles, and other out‑of‑pocket amounts at time of visit.
  • Maintains primary office scheduling template containing physician meetings, satellite schedule, rounding, and call coverage.
  • Arranges for patients to have financial counseling as needed.
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Follows policies and procedures to contribute to front‑office efficiency and covers other front‑office functions as requested.
  • Prepares correspondence, memos, forms, and other typing tasks as requested by supervisor.
  • Schedules outpatient appointments/testing/surgeries and hospital admissions upon request, obtaining necessary pre‑certification as required.
  • Communicates to patients about surgeries or tests being scheduled, potential prep work, and obtains patient information as needed.
  • Ensures pre‑operative tests are cleared for surgical procedures and communicates with physician and patients if further testing is required.
  • Schedules post‑operative follow‑up appointments with physicians as needed.
  • Possesses a basic understanding of medical terminology for tests and surgical procedures, including coding and the ability to look up codes specific to diagnosis, surgery, and scheduling procedure.
Qualifications

High school diploma or equivalent required. Position is entry level and requires 0‑3 years of experience preferably in a medical office setting. Knowledge of medical terminology and coding is a plus. Must have excellent written and verbal communication skills. Proficiency in Microsoft Office (Outlook, Word, Excel) required.

Physical Demands

Work may require sitting for long periods, stooping, bending, stretching, and occasionally lifting files or paper up to 30 pounds. Requires manual dexterity sufficient to operate keyboard, calculator, telephone, copier, and other office equipment. Vision must be correctable to 20/20 and hearing normal for telephone contacts.

Requires prolonged computer use.
