Kelleher + Holland, LLC is seeking an experienced and detail-oriented Estate Planning Paralegal to support our growing estate planning practice. This role is integral to delivering exceptional client service and ensuring the accurate and timely preparation of estate planning and estate administration matters. The ideal candidate is highly organized, proactive, and compassionate, with a strong understanding of estate planning procedures and a client-focused mindset.
This position requires discretion, attention to detail, and the ability to manage multiple matters simultaneously in a fast-paced legal environment.
- Assist attorneys with estate planning matters, including drafting and managing funding letters and follow-up action items.
- Draft estate planning documents, including wills, trusts, powers of attorney, and related instruments (experience with Wealth Counsel is a plus).
- Coordinate document execution, notarization, and client signings.
- Manage client correspondence and track key milestones in estate planning and administration matters.
- Gather, review, and organize client financial and asset information, including bank, brokerage, and real estate documentation.
- Maintain and organize electronic and hard-copy client files and document management systems.
- Maintain calendars and schedule meetings, signings, and hearings.
- Track case-related expenses and prepare client matter packages.
- Answer, screen, and initiate phone calls and emails with clients, attorneys, and third parties.
- Prepare probate and estate administration filings as needed.
- Conduct legal and financial research as requested.
- Format, proofread, and finalize legal documents with precision and consistency.
- Maintain and update templates, checklists, and practice-area resources.
- Provide exceptional client service with empathy, particularly during sensitive or emotional situations.
- Maintain strict confidentiality and exercise sound independent judgment.
- Perform additional duties and special projects as assigned.
Skills & Qualifications
- Minimum 3 years of experience in estate planning and/or estate administration.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, Teams).
- Strong organizational, time management, and proofreading skills.
- Excellent written and verbal communication skills.
- Knowledge of estate planning and probate procedures.
- Ability to manage sensitive matters with professionalism, empathy, and discretion.
- Familiarity with legal terminology, document formatting, and case file management.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and collaborative mindset.
- Comfortable working independently and as part of a team.
- Typing speed of 60+ WPM preferred.
Bachelor’s degree and/or paralegal certificate preferred.
