Job Title:
Before and After School Programs District Coordinator

Purpose Statement:

The job of Before and After School Programs District Coordinator is done for the purpose of supporting and coordinating expanded learning opportunities for students and families, including before- and after-school programs. The position serves as the site coordinator for secondary programs. The position assists with program implementation and meeting grant compliance requirements across the district in collaboration with program, school, and district staff, as well as community partners.

The position plays a key role in building positive relationships with students, families, staff, and community partners, while ensuring consistent communication and quality programming. The position ensures staff are provided with training, collect and review data for program improvement and state and federal reports.

Reports to the Executive Director of Teaching and Learning

Essential Functions

-Establishes and maintains positive and respectful relationships with students, staff, administrators, families, and community members, cultivating a safe and supportive learning environment.

-Supports the district office in coordination and accountability for K–12 before- and after-school programs, ensuring alignment with school-day curriculum and state, district, and grant requirements.

-Serves as the secondary programs site coordinator, working with club leaders, community partners, and school staff on scheduling, staff coverage, materials, communication, and coordination of data collection (attendance, family events, and surveys).

-Coordinates, provides, and actively participates in training offered in collaboration with school staff, district staff, and community partners to support expanded learning programs.

-Provides consistent, proactive student behavior support in collaboration with school-day staff.

-Records, analyzes, and reports program data (attendance, food service, behavior, health and safety, field trips) to inform program improvement and fulfill state and federal reporting requirements.

-Provides coverage in programs when substitutes are not available to cover absences and to support special projects or events, ensuring safety and program continuity.

-Supports and monitors before- and after-school activities, including safety drills, family engagement events, and orientation meetings.

-Supports sites with their ongoing communication (e.g., apps, newsletters) to participants, families, staff, and community partners.

-Collaborates with school and district staff to update program information on digital platforms, including schedules, activities, photos, and community resources.

-Solicits meaningful input from students, program and school day staff, families, and partners (e.g., surveys, meetings, events).

-Demonstrates awareness of and sensitivity to diverse values, cultures, and backgrounds, and works effectively with all individuals.

-Demonstrates a professional and positive attitude when carrying out responsibilities as a member of the district team.

-Utilizes computer and software programs related to job responsibilities to maintain accurate, complete, and confidential records as required by law, district policy, and administrative regulations.

-Supports continuous program improvement to ensure high-quality expanded learning opportunities across sites.

-Follows and maintains knowledge of all District policies and procedures.

Other Functions

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements:
Minimum Qualifications

SKILLS are required to perform multiple technical tasks and occasional need to upgrade skills due to changing job conditions. Specific skills required to satisfactorily perform the functions of the job include communicating with persons of varied cultural and educational backgrounds; preparing and maintaining accurate records; planning and supporting the management of programs/grants; and operating standard office equipment including Google and Word based system and pertinent software applications.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation; organizational skills; stages of child development; parent education issues, post-secondary options;

codes, policies, laws and regulations related to vocational training for special needs populations; and principles of directing and motivating students.
