Role Overview The Executive Assistant to the CEO provides high-level administrative, operational, and strategic support to ensure the CEO’s time, priorities, and communication are managed efficiently. This role requires discretion, ownership, and proactive coordination across departments.
Key Responsibilities 1. Executive Support Manage CEO’s calendar, meetings, travel, and daily schedule
Act as the first point of contact between the CEO and internal/external stakeholders
Prepare agendas, presentations, reports, and briefing notes
Track follow-ups, deadlines, and action points from meetings
2. Communication & Coordination Draft, review, and manage official emails, letters, and communications
Coordinate with department heads to ensure alignment with CEO priorities
Ensure smooth information flow between CEO and teams
Represent CEO in meetings when required (as observer/coordinator)
3. Strategic & Operational Assistance Assist in planning, execution, and tracking of strategic initiatives
Maintain dashboards, MIS reports, and performance summaries
Support decision-making with data, insights, and documentation
Monitor execution of CEO directives and ensure accountability
4. Confidentiality & Governance Handle sensitive information with complete confidentiality
Maintain records, contracts, and important documents
Support compliance, audits, and governance-related activities
5. Event & Stakeholder Management Assist in organizing leadership meetings, board meetings, and events
Coordinate with investors, partners, and senior stakeholders
Ensure professional representation of the CEO and organization
Job Specification (JS) Education Graduate / Postgraduate (Management, Commerce, Administration preferred)
Experience 2–6 years of experience as Executive Assistant, Personal Assistant, or similar leadership support role
Experience working with senior leadership preferred
Skills & Competencies Core Skills Excellent written & verbal communication
Strong organizational and time-management skills
Advanced proficiency in MS Excel, PowerPoint, Word, and email tools
Ability to multitask and work under pressure
