Job Description

LEO seeks a highly organized, detail‑oriented administrative professional with exceptional coordination and communication skills to serve as its next Administrative Coordinator. This role is essential to ensuring smooth daily operations at LEO, providing comprehensive office, scheduling, and executive support to advance the team’s mission.

Who we are

The Wilson Sheehan Lab for Economic Opportunities (LEO) at the University of Notre Dame is a research center that partners with service providers to identify effective, evidence‑based solutions to poverty in the United States. Through rigorous research and a deep commitment to impact, LEO helps scale what works—advancing data‑driven approaches to poverty alleviation.

Who we need

We are seeking a proactive, resourceful Administrative Coordinator who thrives in a dynamic environment and brings exceptional organizational skills, attention to detail, and a deep commitment to LEO’s mission. The ideal candidate will excel in managing multiple responsibilities simultaneously, delivering excellent hospitality and office support, and ensuring processes run smoothly across the institute. This position requires a polished communicator, a collaborative team member, and someone who can navigate a large university system while supporting a fast‑paced, growing institute.

The

Administrative Coordinator’s top priorities will be:
Office Coordination
  • Oversee LEO’s office management, including front desk operations, visitor hospitality, office space coordination, and supply management.
  • Own LEO’s master calendar and support team‑wide scheduling, meeting facilitation, and space management.
  • Provide executive support to the Associate Director of Administration, including calendar management, scheduling, meeting agenda preparation, and execution of administrative tasks and special projects.
  • Lead project and task management activities, including building and maintaining timelines and supporting relationship management needs.
  • Support personnel processes and business operations through scheduling, file maintenance, and space oversight.
Communication & Reporting
  • Support fundraising operations through monthly acknowledgement letters, data entry (Wrike, tracking tools, etc.), document formatting and copy editing, design work in Canva, file organization, document packaging, audits/reviews, stewardship activities, and meeting support.
Finance & Budgeting Assistance
  • Execute financial and fund‑processing tasks, including preparing requisitions, submitting expense reports, and supporting basic financial operations.
Additional Responsibilities
  • Perform other duties as assigned by LEO leadership to support the smooth functioning of the institute.

This is a three-year, limited-term position. Contingent on funding, the position may be extended.

Qualifications Education & Experience
  • Bachelor’s degree
  • 1–2 years of related experience.
Skills
  • Deep commitment to the mission and values of both LEO and the University.
  • Excellent communication, writing, and administrative skills.
  • High level of professionalism when working with faculty, staff, and guests.
  • Self‑directed team player with the ability to take initiative and work autonomously as part of a small team while effectively navigating a large university environment.
  • Strong analytical and problem‑solving skills with the ability to manage competing priorities, meet deadlines, and maintain accuracy and consistency.
  • Ability to learn Notre Dame’s software systems, policies, and procedures (GLez, BuyND, etc.).
  • Flexibility to manage evolving responsibilities as part of a growing institute.

Compensation: $16-$16
