POSITION OVERVIEW

The Administrative & Office Assistant provides operational, invoicing, accounting, and administrative support across the organization to ensure efficient systems and smooth day-to-day operations. This position supports the Executive Director, Program Administrator, and Organizational Performance Administrator and all core functional areas through strong coordination, accuracy, and communication.

KEY RESPONSIBILITIES
  • Administrative Operations:
    Manage Office Supplies purchasing, Meeting scheduling, physical and digital recordkeeping, and general office logistics.
  • Invoicing and Payment Processing:
    Prepare, process, and track invoices, payments, and purchase requests; ensure timely and accurate entry into financial systems (QBO or equivalent).
  • Facilities and Vendor Management:
    Coordinate with vendors, maintain contracts and insurance documentation, and oversee workspace safety and functionality.
  • Office Systems & Supplies:
    Maintain office supply inventory, technology assets, and document control systems; liaise with IT vendors as needed.
  • Data Entry and Document Management:
    Enter and maintain accurate student, vendor, and program data in organizational databases (CRM, LMS, or similar).
  • Event Logistics and Marketing Coordination:
    Assist with scheduling, logistics, and setup for training events, community outreach, and promotional activities.
  • Administrative Assistance:
    Provide scheduling, communications, and administrative support; prepare meeting materials and take minutes when requested.
  • Organizational Performance:
    Support HR documentation, benefits coordination, and compliance tracking.
  • Program Support:
    Assist with data collection, reporting, and administrative follow-up (including certifications, invoices, and student tracking).

  • Accuracy and timeliness of invoicing, payments, and data entry
  • Quality and organization of administrative systems and records
  • Responsiveness and reliability of cross-team support
  • Compliance with HR, vendor, and financial documentation requirements
  • Positive feedback from supervisors and colleagues
QUALIFICATIONS
  • Education:

    Associate degree or equivalent experience in business administration, office management, or related field.
  • Experience:

    Minimum 2 years of administrative or bookkeeping experience preferred.
  • Skills:
    • Strong organizational, interpersonal, and communication skills
    • Preferred proficiency in Microsoft Office Suite and accounting/CRM platforms (e.g., Quick Books Online, )
    • Accuracy and attention to detail in financial and data tasks
    • Ability to manage multiple priorities in a fast-paced, mission-driven environment
SCHEDULE

Full-time, Monday through Friday, generally 8:00 a.m. – 5:00 p.m. with occasional flexibility for special events.

COMPENSATION & BENEFITS
  • Pay: $19-$21 40/hour, full-time, non-exempt
  • Holidays & Paid Time Off: 10 paid holidays annually;
    Up to 20 paid vacation days (based on years of service); 24 hours paid personal/family time
  • Retirement: 403(b) plan with 2.5% employee match plus 5% annual employer contribution after one year
