Location: Indianapolis

Project Administrator

The Project Admin is responsible for ordering materials for Toric’s engineering projects and invoicing projects, including office supplies, maintenance supplies, etc.

Essential Duties & Functions
  • Create new projects
  • Invoice projects in coordination with the Controller
  • Place purchase orders with vendors for stock and projects
  • Order materials online or in-store as needed
  • Manage internal parts list with accurate pricing
  • Review pricing on all orders for accuracy
  • Sourcing for best quality, price, and lead times
  • Proactively communicate delays to project leads
  • Work with supply and demand to create stock orders
  • Help manage inventory, including physical inventory counts
  • Initiate RMA process
  • Assist with problem‑solving concerning purchasing
  • Manage and maintain relationships with vendors
  • Maintain vendor contact information, as needed
  • Backup to Service Admin
  • Other duties as assigned
Required Knowledge, Skills, & Abilities
  • High school diploma or GED
  • Strong organizational skills
  • Ability to be on time
  • Proficient typing skills
  • Working knowledge of Word and Excel
  • Professional appearance with a modest, neat, and clean dress code
  • Responsibility and acknowledgment of failures
  • Continual improvement mindset
  • Ability to work independently and with a team
Preferred Knowledge, Skills, & Abilities
  • Experience with inventory procurement
  • Experience in purchasing
  • Experience with ERP system (e.g., Global Shop)
  • Valid driver’s license
Work Environment & Physical Demands

Physical demands include using hands and fingers to handle, feel, or operate objects, tools, or controls, and reaching with hands and arms. The job operates in both a professional office environment and a warehouse. Standard office equipment such as computers, phones, and photocopiers will be used.

This is a full‑time position with standard days and hours Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand. The position may require occasional exposure to manufacturing areas; personal protective equipment such as safety glasses with side shields and mandatory hearing protection may be required.
