The Associate Administrative Assistant plays a critical role in ensuring the smooth and efficient operation of the assigned area of support. This position provides comprehensive administrative and clerical support to staff and visitors, contributing to the success of daily operations. Responsibilities include coordinating meetings, handling correspondence, ordering office supplies, and overseeing building opening and closing procedures to ensure security and readiness.
The role requires proficiency in office technology and software, strong organizational skills, and the ability to prioritize tasks in a fast‑paced environment. The ideal candidate will demonstrate professionalism, adaptability, and excellent communication skills while interacting with individuals from diverse backgrounds. This position is essential for maintaining workflow continuity, supporting departmental goals, and delivering an exceptional experience.
Skills and Qualifications
- High School Diploma or GED required.
- Previous experience as an Administrative Secretary or Receptionist, with multi‑line phone systems and computer data entry preferred.
- Proficient in Microsoft Office Suite, timekeeping systems, Internet, Access, Windows OS, and other department‑specific software.
- Ensures smooth office operations and supports departmental goals.
- Ability to adapt to change and learn new processes quickly.
- Excellent organizational skills with the ability to prioritize tasks.
- Proficient in basic computer functions and accurate typing.
- Ability to handle multiple tasks and work independently with minimal supervision.
- Demonstrates professionalism.
