Job Description
The Faculty Administrative Assistant plays a vital role in supporting law faculty and administrators at the University of Notre Dame by delivering thoughtful, high-quality administrative, operational, and logistical support. This position is central to fostering an environment where faculty can focus on teaching, scholarship, and service in support of the University’s academic mission.
Key Responsibilities- Provide comprehensive administrative and logistical support to multiple faculty members, blending core administrative functions—such as calendar management, record maintenance, and professional document preparation (including manuscripts and letters of recommendation)—with extensive course administration responsibilities. This includes managing learning management systems, processing grades, and coordinating student assistants.
- Serve as a welcoming first point of contact and trusted communications liaison by managing front‑office operations, answering calls, greeting visitors, and coordinating and supporting faculty‑related meetings and events.
- Coordinate domestic and international travel arrangements and serve as the faculty delegate for preparing detailed travel and expense reimbursement requests, ensuring full compliance with University and Law School policies.
- Provide backup support for other faculty assistants and assist with overflow administrative needs as assigned by departmental leadership.
- Support the planning and execution of special projects and signature events—such as Commencement and faculty conferences—at the request of leadership.

Qualifications Education & Experience- Associate’s degree or some college coursework highly preferred
- 3–5 years of administrative experience, preferably in higher education or a professional office environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Calendar, Docs, Sheets, Forms)
- Experience with university or enterprise systems such as Canvas or other LMS platforms, travel and expense systems, Box, Zoom, and Adobe Acrobat is a plus
- Exceptional organizational skills with strong attention to detail
- Excellent written and verbal communication skills
- Demonstrated ability to maintain confidentiality and exercise sound judgment and discretion
- Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision
- Strong problem‑solving skills and a proactive, service‑oriented mindset with the ability to anticipate needs

Hiring Pay Range : $18 - $20/hr | Commensurate with experience
