Client Service Specialist

We are seeking a Client Service Specialist who is passionate about delivering an exceptional client experience. This role serves as a key point of coordination between our clients, advisors, and internal teams, ensuring that requests are addressed, resources are available, meetings are coordinated, and clients feel supported throughout their journey with Vital Incite.

The ideal candidate enjoys building relationships, solving problems, staying organized, and helping others succeed. They are proactive, responsive, detail-oriented, and take ownership of creating a positive and consistent experience for every client interaction.

• Serve as a primary client support resource for assigned clients and advisors.
• Build positive relationships with clients through timely communication, responsiveness, and follow-through.
• Coordinate client meetings, onboarding sessions, educational programs, and training activities.
• Manage client requests and ensure appropriate internal follow-up and resolution.
• Support user access administration and assist clients with platform access and navigation.
• Assist clients with forms, surveys, training materials, user guides, and other support resources.
• Coordinate communications between clients, carriers, vendors, and internal team members.
• Develop and administer Employee Needs Surveys and assist with reporting results.
• Support the preparation, organization, and distribution of client-facing materials and presentations.
• Maintain organized documentation and client records to ensure consistent client experience.
• Track action items and ensure commitments are completed accurately and on time.
• Identify opportunities to improve processes, enhance client satisfaction, and create greater operational efficiency.

• Bachelor's degree is preferred or equivalent combination of education and experience.
• Experience in client service, account coordination, customer success, project coordination, or a similar client-facing role.
• Exceptional organization and time management skills.
• Strong interpersonal and relationship-building abilities.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities while maintaining a high degree of accuracy and professionalism.
• Strong technology skills, including Microsoft Office applications and collaboration platforms.
• Self‑motivated with a proactive approach to problem solving.
• Passion for helping clients and delivering outstanding service.
• Required to work in‑office two days a week
• Additional in‑office attendance may be required for team meetings, training sessions or special events.
