Job Summary

The Healthcare Coalition Preparedness (HCC) Coordinator is the primary point of contact for hospitals, healthcare organizations, and coalition partners in an assigned district on matters tied to the IDOH Division of Emergency Preparedness goals and objectives. The role identifies preparedness gaps and needs among these partners and directs them to the right information and resources. It also works closely with the Regional PHEP Coordinator to coordinate local public health and healthcare partners on shared preparedness efforts.

The Coordinator serves at the direction of the Director of District and Local Readiness and the IDOH DEP Area Supervisor.

Roles and Responsibilities
  • Communicate regularly with the IDOH DEP District and Local Readiness Manager to share needs, challenges, and accomplishments, and to receive guidance
  • Participate in IDOH Division of Emergency Preparedness conference calls and staff meetings
  • Attend district coalition meetings with the Regional PHEP Coordinator, plus other healthcare meetings or events assigned by the DEP Area Supervisor
  • Identify and communicate planning, training, and exercise support needs to the DLR Manager
  • Provide guidance on IDOH preparedness efforts, or direct partners to where they can get it
  • Help track grant deliverable progress, data collection, and inventory
  • Complete reporting and tracking forms as requested by the DLR Manager or Director
  • Act as liaison to coalition members by distributing coalition information such as brochures, contact details, and standing meeting information
  • Establish program objectives and KPIs, and plan actions to achieve them
  • Develop, update, and monitor policies and procedures for the program area
  • Interpret and explain policies, rules, regulations, and laws to leadership and customers
  • Implement corrective action plans to solve program problems
  • Analyze, prepare, and share monthly and annual program reports
  • Review the budget and recommend ways to improve program finances
  • Ensure program requirements meet federal and state policies and grant compliance
  • Coordinate and deliver communication plans and communications
Experience
  • 2 years in public health or public safety emergency preparedness, identifying gaps and appropriate resources and solutions
  • 2 years tracking data and inventory and completing reports and documents
  • 2 years in emergency management, planning, training, and exercise support, including tracking grant deliverables and reporting
  • 2 years facilitating and managing meetings with program agency and local partners, including keeping meeting notes
  • 2 years identifying and communicating training and support needs or activities for a program
  • 2 years working with Microsoft Office applications
Key Skills
  • Proficiency with the Microsoft suite (Teams, PowerPoint, Excel, Outlook)
  • Written and verbal communication

  • Specialized knowledge of the program area, including relevant rules, regulations, and federal and state laws

Eligibility and Qualifications
  • Bachelor’s degree preferred, with public health or public safety experience accepted as a substitute
  • Ability to work independently and with minimal supervision
  • Ability to attend district coalition meetings and other assigned events
