Overview

Ayokay is seeking a driven and perceptive Operations Director to lead internal operations and delivery across our web, marketing, and custom app teams. This role is ideal for someone who thrives in fast-paced environments, can bring structure to complexity, and knows how to motivate teams to perform at their best.

As Operations Director, you will manage people, processes, and performance — ensuring projects are delivered with excellence, team members are supported and held accountable, and internal systems and communications run smoothly. You’ll play a critical role in elevating how Ayokay delivers on our promise to help purpose-driven organizations grow and thrive online.

Note:

we will begin interviewing for this position at the beginning of January 2026.

Key Responsibilities Leadership & Team Performance
  • Lead, coach, and support cross-functional teams to execute projects with excellence.
  • Foster a proactive, feedback-driven culture where challenges are addressed head-on and improvements are continuous.
  • Hold team members accountable to goals and deliverables through structured check-ins and performance reviews.
  • Lead weekly internal Level 10 (L10) meetings and help set quarterly Rocks with leadership.
Project & Delivery Oversight
  • Collaborate with Sales, Marketing, Web, and App teams to plan and manage project timelines, scope, and team capacity.
  • Ensure deliverables are completed on time, on budget, and to Ayokay standards.
  • Monitor workload across departments and reassign as needed to meet changing priorities.
  • Surface risks early and guide teams through solutions with calm, steady leadership.
Operations & Process Improvement
  • Optimize internal systems, documentation, and tools (e.g., Teamwork, budget trackers, workflows) for visibility and efficiency.
  • Maintain accurate tracking of team utilization, capacity, and budgets.
  • Support hiring, onboarding, and team development initiatives.
  • Ensure compliance with legal, financial, and operational standards.
Stakeholder Communications
  • Partner closely with the CEO to turn strategic priorities and decisions into clear, actionable direction for teams.
  • Ensure leadership intent is communicated consistently across departments, reducing ambiguity and misalignment.
  • Act as a trusted thought partner to the CEO by surfacing risks, capacity constraints, and operational realities early.
  • Collaborate with Account Managers and department leaders to support aligned, client-focused delivery and handle escalations when needed.
  • Identify and resolve risks, misalignment, or scope drift with transparency and professionalism.
  • Document decisions, ownership, and next steps to close open loops and maintain momentum.

Qualifications
  • 5+ years in operations, project delivery, or team leadership — preferably in digital marketing, tech, or agency environments.
  • Proven success managing teams and improving performance over time.
  • Experience with project management software like Teamwork, Asana, or
  • Understanding of digital project life cycles (websites, marketing, SEO, apps, etc.)
  • Familiarity with B2B professional services KPIs (e.g., client satisfaction, NPS, utilization).
  • Confident facilitating conversations, addressing underperformance, and driving accountability.
  • Exceptional organization, time management, and follow-through.
Bonus Skills
  • Knowledge of SEO, Google Analytics, and marketing funnels.
  • Basic understanding of how Word Press development works.
  • Experience managing remote or hybrid teams.
  • Familiarity with EOS or similar frameworks.
