Position Overview

YES__ Pte. Ltd. is seeking a proactive and organized General Administration & Museum Operations Support team member to support administrative and operational activities across YES__’s group companies, with a focus on EMME, a new art and architecture museum currently being developed in Bali.

This role will support both general administration and museum operation preparation, including documentation, procurement, vendor coordination, finance and legal administration support, and daily operational tasks. The position is ideal for someone who enjoys working in a dynamic environment and is excited to be part of a unique cultural project involving art, architecture, hospitality, and community activities.

The role will report to the Head of Administration and the Corporate Admin Analyst.

Engagement Structure

This position will initially be engaged by YES__ Pte. Ltd., a Singapore entity, under a service contract starting from June 2026 (the contract period will be decided after interview). Based on performance, business needs, and mutual agreement, there may be an opportunity to convert the role into a permanent employee position.

Core Functional Responsibilities
  • EMME Museum Operations Support

    Support preparation for the opening and daily operation of EMME museum in Bali.

    Assist with operational setup, including facilities, visitor flow, supplies, storage, and back‑office readiness.

    Support procurement, logistics, and coordination for museum‑related needs, including equipment, services, artworks, events, and site visits.

    Coordinate with internal teams such as museum operations, construction, hospitality, creative, finance, and corporate administration.

    Assist in preparing operational documents, checklists, trackers, and reports.

    Communicate and follow up with external partners, vendors, suppliers, consultants, and service providers.

    Support community, education, event, and stakeholder‑related activities where needed.

  • General Administration

    Support day‑to‑day administrative work across YES__’s group companies.

    Organise and maintain company documents, contracts, licences, and administrative records.

    Prepare simple reports, letters, forms, meeting notes, and internal documents.

    Coordinate meetings, schedules, appointments, and follow‑up actions.

    Maintain proper filing of both digital and physical documents.

  • Finance & Procurement Support

    Assist with invoice preparation, payment tracking, reimbursement documents, and related finance administration.

    Coordinate with internal finance teams to collect and organise supporting documents.

    Support purchasing and procurement administration, including quotation collection, vendor coordination, and tracking of purchased items or services.

    Monitor deadlines for payments, contracts, renewals, and other administrative matters.

  • Legal & Compliance Administration

    Assist with company licensing, permit renewals, and legal documentation.

    Coordinate with external legal consultants, notaries, government offices, and related parties when required.

    Maintain organised records for corporate, legal, licensing, and compliance documents.

Authority Scope
  • Coordinate with vendors, suppliers, consultants, and external parties regarding assigned administrative and operational matters.
  • Access and manage company records and documents as required for assigned tasks.
  • Follow up on tasks and provide updates to the Corporate Admin Analyst.
  • Escalate issues or urgent matters to the Corporate Admin Analyst when necessary.
  • Support improvements to administrative workflows, trackers, and filing systems.

  • Timely completion of assigned tasks and follow‑up actions.
  • Clear and professional communication with internal and external parties.
