Location: South Tangerang
Overview
This role involves coordinating examination and registration activities within the Student Services Center, including examination scheduling, thesis defense processes, student registration, and quality management support. The position requires meticulous data handling, communication with students and staff, and ensuring compliance with applicable regulations and procedures.
Responsibilities- Confirm examination schedules with the examination scheduling team and ensure upload to BINUSMAYA two weeks before the exam period.
- Confirm the implementation of thesis defense schedules and communicate them to students.
- Announce thesis defense schedules to students.
- Manage Formulir Isian ijazah (FII): check for changes, update the system, input all signed FII forms, and follow up with students who have not submitted by the deadline.
- Provide thesis examination schedule reminder (H-1) to thesis examiners.
- Prepare and check documents needed for thesis defense (e.g., softcover, attendance list, score form).
- Support examination and thesis defense processes by providing necessary forms, documents, and facilities.
- Coordinate with Biro Nilai to validate scores and thesis defense results.
- Ensure overall data confidentiality and documentation of examination activities.
- Monitor preparation and day-to-day operations of examination activities.
- Suggest improvements to information systems to enhance efficiency and effectiveness.
- Ensure examination activities comply with valid regulations and procedures.
- Inform and guide students to enroll in classes on their KRS.
- Assemble students to fill classes that still have minimum capacity (e.g., send information messages, gather students from classes).
- Ensure KRSS and KRS submissions run smoothly by:
- Providing accurate information.
- Conducting KRSS and KRS filling tests with IT Operation.
- Coordinating with the class scheduling team to guarantee accuracy and compliance with requirements.
- Evaluate and ensure that KRSS/KRS data analysis results match student profiles and requirements.
- Prepare documents required for all registration process activities.
- Monitor the study plan registration process and timeline based on the registration calendar.
- Validate student registration data and ensure all enrollment requests are correct and timely.
- Ensure the entire enrollment process is complete and coordinate with the scheduling officer for enrollment activities and constraints.
- Perform additional tasks as required by the direct supervisor.
- Provide periodic reports to the direct supervisor.
- Compile, maintain, and file all reports, records, and other documents required.
- Perform activities related to the Quality Management System.
- Suggest improvements to processes related to Student Services Center activities, focusing on time, effort, and cost efficiency.
- General Requirement:
Minimum Diploma Degree (D3) or University Student (6th Semester). - Work Experience:
