Job Purpose

To support the service department by ensuring accurate and timely processing of warranty claims and service administration tasks. This role ensures customer satisfaction by assisting with service-related paperwork, maintaining records, and liaising with manufacturers regarding warranty submissions and approvals.

Key Responsibilities
  • Process and submit manufacturer warranty claims accurately and within deadlines
  • Monitor and track warranty claim status and resolve any issues or queries
  • Maintain up-to-date knowledge of manufacturer warranty policies and procedures
  • Assist with service administration duties including invoicing, job card management, and customer follow-ups
  • Liaise with technicians, service advisors, and parts department to gather necessary information
  • Ensure all documentation is complete and compliant with audit standards
  • Maintain accurate and organised digital and physical records
  • Handle incoming calls and emails related to service and warranty enquiries
  • Support the wider service team during busy periods or staff absence
Key Skills & Experience
  • Previous experience in a motor trade environment (preferred)
  • Understanding of vehicle servicing and warranty procedures
  • Strong administrative and organisational skills
  • Good attention to detail and accuracy
  • Proficient in Microsoft Office and dealership management systems (e.g., Kerridge, Pinnacle, CDK – desirable)
  • Excellent communication skills (written and verbal)
  • Ability to work independently and manage workload efficiently
Qualifications

GCSEs (or equivalent) in English and Maths
