Education Requirements
  • High school diploma or GED required.
  • Additional coursework or education in accounting, bookkeeping, business, or finance is beneficial.
Job Duties
  • Handle daily administrative and accounting tasks including matching bills to POs, processing payments, managing mail, printing packing slips, filing, and making collection calls.
  • Maintain and update records such as the Blue Book, send daily payment emails, and manage system backup tapes.
  • Responsible for receiving and sorting shipments and performing light office duties like operating window blinds.
  • Weekly tasks include auditing shipping bills, matching checks to bills, mailing payments, and conducting credit card audits.
  • Bi-weekly responsibilities involve preparing AP vs. AR reports and generating CRM deposit reports.
Experience Requirements
  • Minimum 2 years of accounting, bookkeeping, accounts payable, accounts receivable, or administrative office experience required.
  • Experience processing invoices, purchase orders, payments, deposits, and collections.
  • Strong data entry, filing, and record-keeping skills.
  • Proficiency with Microsoft Office, accounting software, and office equipment.
  • Excellent communication, customer service, and organizational skills.
  • Ability to manage multiple tasks and maintain accuracy in a fast-paced office environment
Preferred Qualifications
  • Previous accounting, bookkeeping, payroll, accounts payable, accounts receivable, or office administration experience is preferred.
  • Experience using accounting software such as Quick Books, Sage, Microsoft Dynamics, SAP, or similar business systems is beneficial.
  • Knowledge of general accounting principles, financial recordkeeping, or reconciliation procedures is considered an asset.
  • Individuals who demonstrate professionalism, dependability, accuracy, and strong organizational skills are well positioned for success as a Accounting Receptionist.
Physical Capabilities
  • Ability to remain seated and work at a computer for extended periods.
  • Ability to review financial documents and enter data accurately.
  • Ability to occasionally lift office materials weighing up to 25 pounds.
  • Ability to perform normal office duties while maintaining attention to detail throughout the workday.
