Senior Operations ManagerThe Estate Lawyers is scaling intentionally, and we need someone to own operations and build the systems that make sustainable growth possible.
You’ll lead a small team while serving as the architect and guardian of how we actually work across the firm. If you’re energized by creating operational excellence, driving consistent execution, and building infrastructure that scales, this role offers the authority and resources to do it right.
Your Team- Internal Recruiter – Owns candidate sourcing, screening, and hiring pipeline management
- Office Manager – Handles day‑to‑day administrative operations, facilities, vendor coordination, and reception support
- Reception & Front Desk – Oversees reception coverage to ensure a consistent, professional client impression at all times
- Optimize benefits packages so they’re easy to understand, easy to access, and genuinely valuable
- Own the company calendar and coordinate key firm dates, events, and operational deadlines
- Coordinate all insurance and open enrollment processes with clarity and efficiency
- Oversee physical office locations and ensure consistency with remote team members
- Handle day‑to‑day operational issues smoothly and escape appropriately when needed
- Lead, develop, and hold accountable your direct reports (Internal Recruiter, Office Manager, and Reception/Front Desk)
- Set clear goals, provide regular feedback, and conduct performance reviews
- Coach team members on process adherence, problem‑solving, and professional growth
- Ensure your team’s work aligns with firm priorities and EOS discipline
- Design and maintain SOPs across intake, matter launch, onboarding, HR workflows, reception, and administrative functions
- Ensure firm‑wide SOP compliance – Every department consistently follows SOPs, naming conventions, intake workflows, and cross‑functional handoff standards
- Establish and enforce standards for calendaring, file management, document naming, and cross‑department handoffs
- Drive EOS discipline through weekly scorecards, L10 meetings, and accountability follow‑through
- Own operational implementation of iManage, including training on non‑legal SOPs
- Leverage Microsoft 365 to create efficiency and structure across the firm
- Build and maintain the firm’s ATS structure and Trainual learning platform
- Partner with Chief of Staff and Finance on operational alignment for Clio usage
- Oversee hiring workflows, candidate experience, and pipeline management through the Internal Recruiter
- Define hiring stages and create processes for candidate movement from application to offer
- Design and deliver general firm onboarding for all roles
- Lead non‑legal training and support cultural assimilation
- Handle HR documentation, potential concerns, and escalation in coordination with outside employment counsel
- Support handbook updates, compliance postings, and benefits administration
- Own the operational onboarding and integration process for future acquisitions
- Align workflows and SOPs between legacy teams and new teams
- Coordinate system migrations to fit firm standards
- Plan and deliver operational training to ensure smooth integration
- Own the operational side of new client intake, ensuring smooth handoffs
- Translate leadership goals into operational projects with clear owners, milestones, and timelines
- Partner with Finance to enforce operational processes tied to established SOPs
- Provide visibility into hiring status, onboarding completion, SOP adoption, and key operational metrics
- Serve as the approachable operations point‑person across the firm
- Plan and execute quarterly firm events that reinforce culture
- Support internal communications around initiatives, updates, and operational changes
- Reinforce firm values through structured touchpoints, training modules, and consistent execution
- Help ensure new hires, acquired teams, and existing staff experience a cohesive, values‑aligned culture
