Executive Assistant to CEO & SVP - Investor Relations and Global Affairs
Location: Irving, TX
Pay Range: $/yr - $/yr
Responsibilities- Provide white-glove, highly personalized support, anticipating executive needs and preferences, especially for travel and events.
- Proactive communication with executives, including morning confirmations, car service notifications, and itinerary reminders.
- Calendar management and travel coordination for senior leadership and the 10-member Board of Directors.
- Board of Directors support: coordinating board member travel and logistics, assisting with board meeting agenda preparation and ensuring completeness, managing and uploading board materials in portal, reviewing materials for accuracy, flagging gaps to leadership, coordinating catering and hospitality for board events.
- Plan and execute domestic board meetings and facility visits, including scheduling buses, group transportation, restaurant reservations, facility tours, ensuring safety gear and PPE requirements are met, and tracking coat and shoe sizes as needed.
- Corporate jet management for three jets: acting as main point of contact with pilots, ensuring flight plans, schedules, and time zone considerations are accurate.
- Maintain flight data: accurate flight records, pulling and preparing reports for tax purposes, supporting quarter-end reporting, including insurance-sharing accuracy reports related to corporate aircraft usage.
- Proven experience supporting C-level executives, ideally in a corporate setting.
- Exceptional organizational and time management skills with the ability to prioritize competing tasks.
- Strong attention to detail, especially in reviewing and managing critical materials.
- Demonstrated proactive mindset - able to anticipate needs, take initiative, and act without constant direction.
- Excellent emotional intelligence and the ability to work effectively with diverse personalities.
- High level of confidentiality and discretion.
- Ability to thrive in a fast-paced, dynamic environment while maintaining accuracy.
- Comfort with technology and quick learning of new systems, including board portals and travel management tools.
- Ability to work efficiently from home when required, meeting deadlines and maintaining productivity.
