Job Title: Customer Service Representative
Location: Itasca, IL - onsite
Work Hours: 8:30am-5:30pm
Classification: Non-Exempt, Full-Time, Direct-Hire
The Customer Service Representative plays a vital role in supporting the Inside Sales process by sourcing industrial parts, preparing quotations, and coordinating with vendors and internal departments to ensure timely and accurate order fulfillment. This is a 100% desk-based clerical role, ideal for someone who enjoys detailed coordination and customer communication and is eager to learn and grow within a B2B client-facing environment.

- Respond promptly and professionally to customer emails and internal communications
- Identify customer requirements for parts and services, and source items according to specifications
- Coordinate with vendors to confirm pricing, lead times, export regulations, and product details
- Prepare and issue price quotations based on vendor information and customer inquiries
- Review purchase history and records to adjust pricing or terms in accordance with company policies
- Process and verify customer orders, collaborating with internal departments to ensure accurate fulfillment
- Address and resolve issues such as mis-shipments, product defects, or customer complaints
- Monitor delivery timelines and follow up with vendors and logistics to provide customers with updates
- Maintain spreadsheets and records to ensure accurate tracking of orders and customer data
- Follow up on overdue invoices and coordinate with the accounting team
- Support shipping, inventory, and logistics activities as needed
- Provide regular status updates and reports to management
- Prior clerical or administrative experience highly preferred.
- Experience in B2B customer service or sales support is a big plus.
- Proficient in Microsoft Office Suite (especially Excel), data entry, and typing
- Eagerness and ability to quickly learn CRM, ERP systems, and internal tools
- Excellent time management, communication, and organizational skills
- Detail-oriented, dependable, and collaborative with a professional demeanor
- Japanese language skills or familiarity with Japanese business culture is a plus
