Overview
Accounts Payable Specialist/Coupa Admin is a key member of the corporate finance team, responsible for assisting with accounts payable payment processing and Coupa administration.
The ideal candidate will bring 5+ years of AP experience, possess hands-on expertise with Coupa, and have JD Edwards (JDE) experience preferred. Strong process improvement skills, detail orientation and vendor relationship management are essential for success in this role.

- Invoice & Payment Processing:
Invoice review, coding, and approval workflows. - Ensure timely and accurate processing of payments via checks, ACH, and wire transfers.
- Maintain payment schedules and optimize cash flow management.
- System Expertise:
Utilize Coupa for invoice and payment processing; ensure system efficiency and accuracy. - Work with the indirect procurement team to oversee the proper operation of Coupa.
- Leverage JD Edwards (JDE) for financial data and reporting (preferred).
- Vendor Management:
Build and maintain strong relationships with vendors. - Resolve payment issues and negotiate favorable terms when needed.
- Conduct regular vendor reconciliations to ensure account accuracy.
- Compliance & Documentation:
Ensure adherence to internal controls, company policies, and regulatory requirements. - Maintain organized records of all AP transactions and documentation.
- Process Improvement:
Identify and implement improvements to streamline AP operations. - Collaborate with cross-functional teams to enhance automation and efficiency.
- Minimum of 5 years of experience in Accounts Payable or a related finance function.
- Hands-on experience with Coupa is required.
- Experience with JD Edwards (JDE) is preferred.
- Strong understanding of AP processes, vendor management, and payment systems.
- Proficiency in Microsoft Excel and other accounting software.
- Excellent organizational, communication, and problem-solving skills.
- Excellent organizational skills and attention to detail.
- Effective time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving abilities, especially in resolving invoice and payment issues.
- Excellent interpersonal and vendor relationship management skills.
- Ability to prioritize tasks and delegate responsibilities appropriately.
- Ability to function well in a fast-paced and occasionally high-pressure environment.
- Proficient in Microsoft Office Suite, especially Excel.
- Hands-on experience with Coupa for invoice and payment processing.
- Familiarity with JD Edwards (JDE) or ability to quickly learn and leverage ERP systems for payment tracking.
- Knowledge of IRS 1099 reporting requirements and experience managing 1099 processing.

Work Conditions &Physical Requirements
- Ability to lift up to 10 lbs.
- Work environment is normally in an office setting. Must be able to make frequent rounds in a warehouse environment.
- Ability to view a computer screen and type for extended hours.
- Ability to sit and stand for extended periods of time.
- Other physical requirements include moderate standing and occasional squatting, bending, and twisting.
- Ability to work around a variety of different smells and aromas.
