Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
The Operations Support Specialist will work across the team to ensure all administrative and basic operational tasks are completed with excellent attention to detail and high efficiency. You will support the day‑to‑day needs of team members and serve as a critical hub of communication to ensure information is shared accurately and promptly with team members, clients, vendors, and other stakeholders.
ESSENTIAL JOB DUTIES- Participate in professional development and learning activities to continuously improve leadership, management, and writing skills
- Read and reflect on agency team meetings, professional development check‑ins, and other internal meetings, as needed
- Maintain a high level of organization for print and digital files and materials
- Maintain positive and professional staff and client relationships; welcome and greet clients and office guests.
- Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
- Support office staff and leadership team with general operational tasks
- Plan and schedule meetings, presentations, and other office‑related events; send reminders regarding upcoming appointments
- Manage communication of information in and out of the office; draft correspondence letters, emails, memos, etc., as needed and requested
- Manage shipping, postage, and delivery for internal and client projects, including organizing mail, preparing shipments, and arranging pick‑ups/drop‑offs
- Assist in the preparation of internal and client presentation materials, as needed and requested
- Ensure the office is kept clean and organized at all times
- Use Teamwork project management software to organize internal projects, schedule tasks, and communicate with team members
- Draft detailed notes and action items for internal meetings and send internal and external follow‑up emails to ensure deadlines are met
- Assist with the purchasing, delivery, and organization of office supplies and materials
- Support agency leadership and accounting team with basic bookkeeping
- Excellent written and verbal skills
- Detail‑oriented with exceptional organizational skills
- Ability to learn and adapt quickly in a fast‑paced environment
- Intrinsically motivated self‑starter, team player, critical thinker, and effective communicator
- Familiar with standard office equipment (printers, copiers, fax, etc.)
- A healthy dose of curiosity
- Extensive knowledge of Microsoft Office
- An outstanding communicator, both orally and written
- Excellent customer service skills
- Strong problem solver and analytical thinker
Compensation commensurate with experience.
