Document Services DivisionThe Document Services Division is responsible for maintaining the electronic imaging database. This is a multi-step process that extends from receiving, sorting, and preparing documents for imaging to indexing documents to the appropriate account and sub-folder. Quality control is integral to each step of the process. Staff are responsible for marking, packing, shipping, and retrieval (as necessary) of the original paper documents from storage facilities.
Ongoing back file conversion projects include the scanning and indexing of (1) enrollment forms, (2) disability files, (3) retiree files and (4) eFaxes.
- Process incoming mail
- Assign daily work to be processed
- Manages the electronic folder through scanning, image verification, storing, document maintenance and retrieval of imaged documents or objects
- Manages the Docusign eFax process for the agency
- Process daily performance stats
- Operate a scanner workstation consisting of a document scanner and capture/retrieval station
- Maintain daily work production Excel spreadsheets
- Scan documents in batches according to specific route codes indexed to identify each document uniquely to be entered into the system, providing external and internal document identification
- Performs data entry functions as required
- Communicate with internal customers regarding retrieval/ index of original documents
- Assist with other duties as assigned
The preferred candidate should communicate effectively, display strong teamwork, be customer focused, display organizational skills and be detail oriented.
Preferred QualificationsTypically requires a High School Diploma or high school equivalency and 2-4 years of experience.
