Accounts Payable Specialist

Description

We are looking for an Accounts Payable Specialist to support fully on-site, in office day-to-day invoice and vendor payment activities for a Long-term Contract position based in Jacksonville, Florida. This part-time opportunity is well suited for an accounting specialist who can work independently in an on-site environment while maintaining accuracy across high-volume transactional tasks. The role will focus on invoice processing, vendor communication, statement reconciliation, and maintaining organized financial records using accounting systems and standard office tools.

Responsibilities:

- Ability to work fully on-site, part-time in the Jacksonville Florida offices

- Review incoming invoices, assign the correct general ledger coding, and enter payable transactions accurately within established timelines.

- Respond to vendor questions regarding outstanding balances, payment status, and account issues while resolving discrepancies efficiently.

- Investigate billing inconsistencies, pricing differences, and missing details to ensure invoices are ready for processing.

- Confirm required approvals, purchase orders, and supporting documentation before releasing invoices for payment.

- Maintain vendor records by setting up new suppliers, collecting tax documentation such as W-9 forms, and updating account information as needed.

- Process credit memos, payment batches, and bi-weekly check runs while supporting ACH or other approved payment methods.

- Reconcile vendor statements each month and follow up on unmatched items or open balances to keep accounts current.

- Prepare journal entries related to month-end accruals, including use tax tracking, and help preserve accurate accounting records.

Requirements

- At least 5 years of accounts payable experience, including hands-on work with invoice entry, account coding, and payment processing.

- Ability to work in-office, on contract and part-time in our Jacksonville, Florida offices

- Prior experience using Sage accounting software, along with solid working knowledge of Microsoft Office applications.

- Strong understanding of vendor maintenance, invoice review, credit memo handling, and statement reconciliation.

- Ability to manage details carefully, organize multiple priorities, and maintain accuracy in a fast-moving work setting.

- Effective communication skills with the ability to work professionally with vendors, internal staff, and leadership.

- Sound analytical and problem-solving abilities for identifying discrepancies and resolving payment-related issues.

- Comfortable working independently with limited supervision in an on-site office environment.

- Associate degree in a related field is preferred; additional relevant experience in accounting or finance support may be considered in place of formal education.
