Accounts Payable Specialist

Description

We are looking for an experienced Payroll and Accounting Specialist to support a construction-focused organization for a fully on-site role in Jacksonville, Florida. This Contract position requires a detail-oriented individual who can manage high-volume invoice processing, maintain accurate financial records, and respond promptly to vendor and internal inquiries. The ideal candidate brings strong accounts payable experience, confidence working in Microsoft Dynamics 365 Business Central, and the ability to handle related administrative and cash receipt tasks with accuracy and professionalism.

Responsibilities:

- Ability to work fully-onsite Monday through Friday in our Jacksonville Florida offices

- Ability to process payroll for up to 200 employees bi-weekly

- Review, code, and enter vendor invoices accurately while matching charges to the appropriate accounts and purchase orders.

- Process payment activity through check runs and ACH transactions in accordance with established deadlines and approval procedures.

- Reconcile corporate card activity and statements, investigate discrepancies, and ensure expenses are properly documented.

- Record daily cash receipts, support bank deposit preparation, and maintain organized financial documentation for tracking purposes.

- Enter financial and administrative data into internal systems with a high level of accuracy and attention to detail.

- Manage incoming mail, scan and file documents, and maintain accessible records for invoices, receipts, and supporting paperwork.

- Respond to inbound calls and payment-related questions from vendors and internal teams in a timely and courteous manner.

- Use Microsoft Dynamics 365 Business Central and Excel to track payable activity, organize records, and support reporting needs.

Requirements

- Ability to work fully-onsite Monday through Friday in our Jacksonville Florida offices

- At least 5 years of experience in payroll and accounts payable or closely related accounting support work.

- Demonstrated ability to code invoices, assign account information, and process payments accurately.

- Hands-on experience with ACH payments, check runs, and purchase order matching.

- Proficiency in Microsoft Excel, including the use of formulas for reconciliation and tracking.

- Experience working in Microsoft Dynamics 365 Business Central or a similar accounting platform.

- Strong data entry skills with consistent accuracy in high-volume transactional environments.

- Ability to reconcile credit card transactions and maintain complete supporting documentation.

- Clear and detail-oriented communication skills with the ability to handle inbound inquiries effectively.
