Service Operations Specialist – Air Compressor Division
Job Summary: Coordinates, monitors and improves field service activities for the department by supporting service technicians who perform on-site routine services including installation, maintenance, and repair. Ensures field services are effective by collaborating with parts personnel to ensure jobs are ready to schedule and establishes rapport with customers to meet their requirements.
Essential Job Functions:
- Schedule service technicians daily in an efficient manner.
- Ensure customers' needs are met by opening work orders and communicating with necessary team members to ensure timely fulfillment.
- Ensure all service technicians have what they need by working closely with the parts department to have all parts on hand.
- Greet and assist service visitors in a professional, friendly manner.
- Manage various reports for accuracy.
- Daily management of the WIP (Work in Progress) report.
- Invoice completed work orders according to designations established by the department manager.
- Manage the PM accounts to ensure parts lists are accurate.
- Track open work orders, parts status follow‑up, and work order scheduling.
- Manage the PM accounts to ensure the parts are ordered for the upcoming month at least two weeks prior to the next month.
- Ensure package‑care customers are serviced and invoiced properly and on time.
- Prepare service quotations.

Job Functions:
- Conduct customer follow‑up on how service was performed, when requested.
- Assist with inputting and closing warranty claims on web portal; maintain office equipment in ready‑for‑use status (refill paper tray, toner, schedule preventative maintenance/repairs as needed).
- Perform additional duties as assigned.
Required Experience –
Knowledge, Skills and Abilities:
- Must be able to work in a fast‑paced, customer‑centric environment.
- Working knowledge of basic accounting principles relating to invoices.
- Working knowledge of Microsoft Office applications such as Excel, Word, Outlook and Internet Explorer, and the ability to learn the company's business information system.
- Must be able to maintain and protect the confidentiality of all company proprietary information and trade secrets.
- Ability to work independently on assigned tasks and accept direction from management.
- Must be able to complete high volumes of work with accuracy and efficiency.
- Excellent communication and interpersonal skills.
- Ability to apply teamwork principles when working with company personnel.
- Work environment requires exposure to computer screen, typing/mouse usage, climbing, and extended periods of sedentary work.
- Ability to lift materials up to 10 pounds.
Minimum
Job Qualifications:
- High school diploma or equivalent (GED) and 1 year of related work experience or training, or an equivalent combination of education and experience.
