Job SummaryResponsible for relaying incoming telephone calls, greeting visitors in a professional manner, and performing various clerical duties.
Essential Functions, Duties, And Responsibilities- Answers multi‑line telephone system, takes accurate messages and transfers telephone calls to the appropriate person in an efficient manner.
- Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival.
- Opens and distributes incoming mail on a daily basis, and prepares outgoing mail.
- Monitors facsimile machine, directs incoming documents and sends documents via facsimile as requested.
- Prepares and mails daily invoices.
- Prepares and mails monthly statements.
- Retrieval and Interpretation of Documents.
- Knowledge of 411 Procedure.
- Knowledge of FDA Inspection Procedure.
- Use of SAP.
- High School Diploma or Equivalent.
- Adhere and support KLS Martins quality and safety policies and procedures.
- Ability to retrieve and interpret documentation.
- Ability to work effectively with all levels of internal and external associates/customers/colleagues.
- Demonstrated ability to effectively communicate both verbally and in writing.
- Ability to develop and maintain collaborative relationships with all levels within the organization.
- Ability to follow through on issues, make informed decisions that comply with policies and procedures, complete tasks and problem‑solve.
- Ability to manage multiple priorities.
- Possess intermediate to advanced level knowledge of Microsoft Office software applications.
- Ability to work with minimal supervision.
- Typing/computer keyboard.
- Utilize computer software (specified above).
- Retrieve and compile information.
- Maintain records/logs.
