Admin Assistant
Join our team as an Admin Assistant at Cypress Village Retirement, supporting the Food & Beverage Director and ensuring the efficient operation of the department.
Job DescriptionThe Admin Assistant will assist the F&B Director in planning, organizing, directing, coordinating, and executing all department activities.
Salary$19.50 per hour.
Preferred1 year of senior living experience.
General SummaryThe Admin Assistant facilitates the efficient operation of the Food & Beverage department by performing a variety of clerical, administrative, and direct service tasks.
Principal Duties- In the absence of the Director of Food & Beverage, supervise dining venues.
- Assist the Director with staffing, scheduling, and training of staff.
- Respond to and resolve administrative inquiries and questions.
- Manage point‑of‑sale (POS) systems, including meal counts, reservations and sales.
- Participate in cost control measures and inventories.
- Track and process accounts payable for the department.
- Submit company purchase card reconciliations.
- Ensure compliance with regulatory requirements for various programs including the social club.
- Draft communications for the department and distribute as appropriate.
- Prepare agendas, written summaries, schedule meetings, and maintain records and filing systems.
- Coordinate and plan events for the department while working with other key personnel in other departments (e.g., Marketing, Dining Services).
- Perform other duties as assigned.
- High school diploma or equivalent; minimum of two years of supervisory or supportive experience within fine dining restaurants, clubs, hotels or similar industries.
- Proven ability with computer and communication skills; knowledge of Microsoft Office Suite.
- Strong leadership skills and ability to make quick decisions in high‑stress situations; well organized.
- Ability to work a flexible schedule, including weekends and holidays.
- Excellent customer service skills; ability to communicate, understand, empathize with, work with, and be tolerant of residents, families, visitors, peers, supervisors and subordinates.
Must be able to stand and walk 90% of the work day; ability to stoop, stand and stretch frequently. The position may require sitting for prolonged periods while working on a computer. Must be able to lift 50 pounds frequently. Must be able to see, hear and speak. Must be able to read, write and communicate in English.
