Project Coordinator – Terracon
Terracon is a 100 percent employee‑owned multidiscipline consulting firm that solves engineering and technical challenges across the United States. We are looking for a Project Coordinator to support project delivery, document control, and client communication for our geotechnical and environmental teams.
Responsibilities- Coordinate document processes and systems to support control and availability of project and client documentation, including tracking, routing, and compliance with client protocols.
- Collaborate with financial analysts, accountants, and project teams to review, track, and update proposal and project status, milestones, billing, budgets, and schedules, ensuring contract requirements and management policies are followed.
- Draft reports, templates, proposals, fee estimates, and change orders, and maintain communications and documentation in Terra Net and CRM.
- Support management of work in progress (WIP), invoicing, and accounts receivable.
- Schedule and coordinate utility locating services and clearances as needed.
- Assist in engineering support tasks such as developing drawings, directives, boring and test pit logs, and field soil classification.
- Maintain project and client communication plans, including status updates, delivery schedules, and system access coordination.
- Provide training and coaching to Operations on the use of Terracon client programs and systems.
- Maintain project program-level Compass, train and support team members on its use to enhance client experience.
- Adhere to safety rules and quality standards on all projects; report safety issues to management.
- Perform other duties as assigned.
- Ensure project document control follows established processes and quality standards.
- Track and route documents into internal and/or external systems, complying with client protocols and requirements.
- Collaborate with local office/operations to complete document compliance within schedule.
- Manage document processes and systems to support control and availability of project and client documentation.
- Assist in overall project delivery (cost, schedule, quality, information, contracts) across multiple assignments.
- Support budget and schedule management, proposal process initiation, and client communication.
- Maintain spreadsheets or other tracking systems regarding status of proposals and projects.
- Coordinate proposal/opportunity responses, maintain key client contacts, and update client-specific requirements in Terra Net and CRM.
- Manage change order requests, ensuring timely delivery and approval.
- Support program manual development and maintain communication plans.
- Track milestones and resource assignment with project/program managers.
- Maintain and update project or program-level Compass.
- Provide training and coaching on Compass usage.
- Collaborate with Client Service Managers to incorporate Compass internally and externally.
- High school diploma with a minimum of 4 years of related experience.
- Associate or bachelor’s degree in a related field preferred.
- Experience with gINT Geotechnical software and AutoCAD LT preferred (if applicable).
- Fluent in Microsoft Office applications.
- Valid driver’s license; acceptable violation history may be required.
