Position Summary
The Special Events Manager supports the planning, execution, and evaluation of fundraising events and donor engagement activities for the organization. This position works closely with the development team, volunteers, vendors, sponsors, and community partners to ensure events are well-organized, mission-focused, and successful in generating revenue and awareness. The coordinator is also responsible for securing, managing, and stewarding event sponsor ships.
Essential Functions
Event Planning & Execution
- Planning and coordinating all aspects of fundraising events including logistics, timelines, budgets, vendor management, and day‑of implementation.
- Support the production of event materials, including invitations, programs, signage, presentations, and speaking points.
- Coordinate with database team event registration, guest lists, seating, and check‑in processes.
- Manage volunteer assignments and communication to ensure adequate staffing and smooth event operations.
Sponsor & Donor Engagement
- Identify, solicit, and secure event sponsor ships, including financial and in‑kind support.
- Build and maintain relationships with current and prospective sponsors.
- Prepare sponsorship proposals, benefit packages, and follow‑up communications.
- Ensure proper stewardship of sponsors, including timely acknowledgment, fulfillment of sponsor benefits, and ongoing relationship cultivation.
- Maintain accurate records of sponsorship commitments, payments, and recognition requirements.
- Assist in preparing thank‑you letters, stewardship materials, and post‑event sponsor recaps.
Administrative & Database Management
- Track event revenue, expenses, and sponsorship commitments; provide timely updates and reports to the development team.
- Enter event‑related and sponsorship‑related data into the donor database and maintain accurate and current records.
- Prepare post‑event evaluations, metrics, and recommendations to strengthen future events.
Marketing & Communications Support
- Assist in drafting event‑related email communications, social posts, and website updates.
- Coordinate photography, videography, and other promotional needs at events.
- Gather stories, testimonials, and content for marketing and stewardship use.
Community Engagement
- Cultivate positive relationships with vendors, volunteers, donors, and partner organizations.
Qualifications
Knowledge and Critical Skills
- Strong organizational skills and excellent attention to detail.
- Ability to manage multiple projects, meet deadlines, and problem‑solve in a fast‑paced environment.
- Strong communication and interpersonal skills; comfortable interacting with donors and volunteers.
- Proficiency in Microsoft Office; experience with donor databases preferred (e.g., Raiser’s Edge, etc.).
- Ability to work occasional evenings and weekends for events.
- Ability to lift 20–30 lbs and assist with event setup as needed.
Experience
- 3 to 5 years of experience in event planning, fundraising, or nonprofit work (volunteer or internship experience considered).
