About the role

We are seeking a highly organised and proactive GM Assistant to join PT. SINO INDONESIA TCM COOPERATION CENTRE in South Jakarta. This is a full‑time position that offers an excellent opportunity to work at the heart of our operations, providing essential support to our General Manager. As GM Assistant, you will be instrumental in ensuring the smooth running of executive operations, managing schedules, communications, and strategic initiatives that directly impact our business performance.

This role requires someone who thrives in a fast‑paced environment and can manage multiple priorities with professionalism and discretion.

Key responsibilities
  • Manage the General Manager's calendar, schedule meetings and appointments, and coordinate travel arrangements
  • Prepare and maintain executive reports, presentations, and documentation for board meetings and senior management discussions
  • Act as a liaison between the General Manager and internal departments and Shanghai Office, ensuring effective communication and information flow
  • Handle correspondence, emails, and confidential matters with discretion and professionalism
  • Coordinate and organise meetings, including agenda preparation, minute‑taking, and follow‑up actions
  • Support project management activities and monitor progress against key performance indicators
  • Maintain filing systems and databases, ensuring information is organised, accessible, and secure
  • Assist with event planning and coordination, including conferences, seminars, and corporate functions
  • Perform administrative tasks such as expense reporting, documentation, and record management
  • Support the General Manager with research and analysis on business matters as required
What we're looking for
  • Proven experience as an Executive Assistant, General Manager Assistant, or similar administrative support role within a corporate or professional environment
  • Excellent organisational and time‑management skills with the ability to prioritise multiple tasks effectively
  • Strong written and verbal communication skills in English and Indonesian; proficiency in Chinese is advantageous
  • Driving skill is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling and document management software
  • Exceptional attention to detail and accuracy in all administrative work
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong interpersonal skills and the ability to work effectively with individuals at all levels of the organisation
  • Proactive approach with the ability to anticipate needs and work independently with minimal supervision
  • Flexibility and adaptability in a dynamic business environment
  • Knowledge of office management practices and protocols
