Role Summary
UMG Indonesia is seeking a highly organized, proactive, and trusted Executive Assistant to support the Managing Director. This role is critical in ensuring seamless day-to-day operations, enabling leadership to stay focused on strategic priorities while maintaining strong coordination across internal and external stakeholders.
About the role- Manage complex calendars, scheduling meetings, travel, and key engagements for the Managing Director and Executives of UMG with precision and foresight.
- Act as a central point of coordination between the Managing Director and internal teams, regional/global stakeholders, and external partners.
- Coordinate meetings and leadership sessions.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Organize business travel, events, and executive-level engagements efficiently.
- Streamline administrative processes and identify opportunities to improve workflow and productivity.
- At least 5 years of experience in an Executive Assistant or similar role, preferably supporting senior leadership.
- Discreet, professional, and dependable, with high standards for quality and confidentiality.
- Exceptional time and task management, project coordination, and multitasking abilities.
- Thrive in fast-paced environments and capable of working under pressure independently.
- Proven ability to build strong relationships with stakeholders at all levels and across the region.
- Solid organizational and prioritization skills.
- Self-motivated, resourceful and proactive.
- Business and tech-savvy, and comfortable with digital tools and systems.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) / Google Workspace.
