Location: Jakarta Selatan
Operational Responsibilities
- Arrange room/facilities for schedule and availability in coordination with Academic
- Manage facility/venue renting procedures with third parties, controlling schedule and venue availability to maximize revenue
- Manage outside vendors such as canteen and FB vendor on a daily basis and for certain events
- Arrange school shuttle bus for daily schedule and other needs for school and office
- Arrange operational car & taxi based on needs and priority
- Provide and arrange school and office daily needs (ATK, water, etc.)
- Support Academic team for providing material needs in every term
- Provide and arrange students’ needs daily (books, uniform via SASHOP, meals via catering vendor)
- Arrange travel: airplane & hotel for any business trip requested by academic or under GA Budget
- Create transactions in Oracle system:
Purchase Request, Reimbursement & Cash Advance Request, Travel Allowance and realization - Handle other administrative needs and other non‑daily services for school & office
- Maintain building facilities to provide comfort and appropriateness in coordination with Engineering and vendor
- Manage cleaning outsource services and ensure cleanliness standards
- Manage security cleaning outsource services and ensure security and safety standards and asset protection
- Manage other outside vendors (pest control, pool, elevator) to provide service and ensure facilities are maintained and working per school standards and safety
- Plan and monitor maintenance schedule in coordination with engineering
- Conduct daily walk‑around in all property areas to ensure everything is in place per “PATROL” system application and standard, and follow up any issue and ensure resolution
- Resolve complaints, problems, and requests related to building and facilities
- Take good care of stocks, inventory, and other equipment; maintain inventory and supplies for daily operation
- Conduct stock opname process monthly in coordination with finance and ensure stock vs inventory system balance
- Control budget vs actual on daily operation when creating PR on the system
- Assist Academic to create PR, RM and CA on the system
- Minimum Diploma/Bachelor in any field
- Minimum 1 year working experience with educational institutions or comparable organizations
- Good communication, positive person, attention to detail, ability to juggle multiple priorities and maintain clear documentation
- Knowledge and experience in operation process and administration, especially on School Operation process
- Skill and knowledge in administration and inventory, and familiarity with inventory system software
- Knowledge and experience in Building and Facilities Maintenance
- Ability to operate Ms. Office (Excel, Word)
- Ability to work creatively and analytically in a problem solving environment
- Willing to work together as a team, and minimum supervision when needed
