Maintenance Coordinator

We are looking for an organized and proactive Maintenance Coordinator to oversee maintenance requests, coordinate vendors and technicians, and ensure property issues are resolved quickly and efficiently.

The ideal candidate has experience in property management, short-term or long-term rentals, facilities coordination, or home services
, and is comfortable managing multiple maintenance requests at the same time.

• Receive, review, prioritize, and track maintenance requests from tenants, guests, property managers, and internal teams.
• Coordinate repairs with maintenance technicians, contractors, and vendors.
• Schedule appointments and ensure vendors have the necessary information and access.
• Follow up on open work orders and ensure issues are resolved within expected timelines.
• Handle urgent and emergency maintenance issues according to established procedures.
• Communicate clearly with tenants, guests, property managers, and vendors throughout the repair process.
• Obtain and compare estimates when required and escalte higher-cost repairs for approval.
• Maintain accurate records of work orders, invoices, photos, estimates, and completed repairs.
• Monitor recurring maintenance issues and identify opportunities for preventative maintenance.
• Coordinate property access, lockbox/entry information, and vendor instructions.
• Update property management systems and internal tracking sheets.
• Ensure completed work meets quality expectations before closing maintenance requests.

• 2+ years of experience in maintenance coordination, property management, facilities management, or a related role.
• Strong experience coordinating contractors, handymen, plumbers, electricians, HVAC technicians, and other vendors.
• Excellent communication and follow-up skills.
• Strong organizational and time-management abilities.
• Ability to prioritize multiple work orders based on urgency and impact.
• Comfortable handling emergency maintenance situations.
• Strong attention to detail and documentation skills.
• Proficiency with Google Workspace and property management/work-order software.
• Ability to work independently in a remote environment.
• Strong English communication skills, both written and verbal.

• Experience with short-term rentals (STR), vacation rentals, or long-term rentals (LTR).
• Experience with property management platforms such as App Folio, Buildium, Property ware, Rent Manager, Yardi, Guesty, Hostaway, or similar systems
  .
• Experience coordinating maintenance for multiple properties.
• Knowledge of common residential maintenance issues, including HVAC, plumbing, electrical, appliances, locks, and general repairs.

We need someone who is responsive, organized, solution-oriented, and excellent at follow-through
. You should be comfortable taking ownership of a maintenance request from the moment it is reported until the issue is fully resolved.
