Our Speech & Hearing team at UPMC Chautauqua is excited to welcome a new full-time Office Assistant I! Our Monday-Friday position offers stable daytime hours with some flexibility (7:30-4:00, 7:45-4:15, or 8:00-4:30). In our small department, you'll play an essential role supporting 7-8 clinical professionals and ensuring patients feel informed, respected, and cared for from the moment they connect with us.
You'll manage scheduling, registration, and office coordination while serving as a key point of contact for patients and providers alike. Cross-training with OT/PT adds variety and collaboration, making this a great opportunity for someone who values teamwork, customer service, and making a meaningful difference in patients' experiences every day. In this role, there is opportunity to
- + Schedule, coordinate, and confirm patient appointments efficiently using Epic and related systems.
+ Greet, register, and check in patients with professionalism, warmth, and excellent customer service.
+ Answer and manage incoming calls, screen inquiries, and relay accurate messages to providers and staff.
+ Verify and enter complete demographic and insurance information, including authorizations when applicable.
+ Prepare and maintain patient charts and documentation for upcoming visits.
+ Maintain physician schedules to ensure accurate appointment flow and optimal clinic operations.
+ Complete encounter forms, referrals, and billing-related documentation with attention to detail.
+ Maintain a clean, organized, and welcoming waiting and reception area.
+ Collaborate with Speech & Hearing, OT, and PT teams to provide coverage and seamless service.
+ Protect patient confidentiality and comply with all UPMC policies and procedures.
Required
+ High school diploma or GED
+ 1 year work experience, preferably in a medical office setting
Preferred
+ Knowledge of medical terminology
+ Word processing and computer experience
+ EPIC scheduling and registration experience
+ Telephone etiquette
+ Customer service skills
+ Insurance verification/authorization experience
Licensure, Certifications, and Clearances:
+ NYS Staff Exclusion List (NYSEL)
